Job Description
Operations Coordinator
Our Client
Is a specialist engineering and maintenance business serving the bulk fuel storage & other industrial sectors.
They deliver maintenance and project management of carbon and fuel storage systems for asset owners and terminal operators across the region.
Quality of work has led to decades of service to the market.

The organisation operates across client terminals and their own workshop and depot, supporting clients.
Trusted to do complex, high-consequence work and to do it right the first time.
The Role
Reporting to the Managing Director and working closely with our lead hands on resource allocation and job priorities, the Operations Coordinator is the engine room of the business.
You will keep our compliance, quality, project delivery and administration running smoothly so our crews can stay focused on the tools.
It is a broad, hands‐on role that touches almost every part of the operation.
Compliance & Safety
Compiling and submitting rescue plans for confined space entry (CSE) and work at heights (WaH)
Compiling and submitting Safe Work Method Statements (SWMS) for all site-based works
Organising employee and contractor inductions, training and refreshers
Arranging employee medicals and drug & alcohol testing as required
Organising and conducting workshop toolbox talks
Managing the organisations Safety Management System and ensuring operations remain legally compliant with health, safety and industry regulations
Quality Assurance
Workshop QA of fabrication drawings and check measuring when required




Organising hydrotesting of pipework and valves, and external NDT/NDE.
Compiling and submitting Inspection & Test Plans (ITPs) and managing weld procedures
Document control, revision updates and paint application QA records
Ensuring quality control standards meet customer and company expectations
Project Coordination
Procurement of materials, equipment rental and sub-contractors
Client liaison and relations, and coordination of bunker jobs
Managing contracted scheduled and ad-hoc depot maintenance
Allocating resources, prioritising jobs and arranging accommodation for crews working away
Assisting the Managing Director with tendering for new works and compiling tender and quote letters
Reviewing and approving supplier and client invoices, checking job spreadsheets and jobsheets, and monitoring job budgets
HR & Administration
New employee onboarding and recruitment advertising as required
HR and award compliance, particularly pay rates and the better off overall test (BOOT)
Review of payroll, insurance renewals and claims, and contracts and agreements management
New supplier credit applications and annual rate increases
The Candidate
This role will suit an organised,



switched‐on operator who thrives on variety and takes genuine ownership of getting things done.
You will likely come from a heavy industry, engineering, fabrication or maintenance background and understand what positive safety and quality systems look like in practice.
We are particularly keen to hear from candidates who can demonstrate:
Experience coordinating operations, compliance or projects in an industrial, fabrication or maintenance environment
Sound working knowledge of WHS obligations, including confined space and work at heights requirements
Familiarity with quality systems such as ITPs, NDT, weld procedures and document control
Strong administrative, scheduling and budget-tracking skills, with confident use of relevant systems and portals
Clear communication and the ability to liaise effectively with crews, clients and sub-contractors
This is a full‐time, site/office-based role in the Newcastle region, working Monday to Thursday 7:00am - 3:30pm and Friday 7:00am - 1:00pm.
A competitive salary package will be discussed with shortlisted candidates, commensurate with experience.
Candidates must be eligible to work in Australia and hold a current driver's licence.
The successful candidate will need to meet pre‐employment screening criteria, including a medical and drug & alcohol test, a criminal history check, and provide 2 x work‐related referees.
