Job Description
The Administrative Assistant at BoraCare plays a pivotal role supporting key roles and functions to ensure the smooth and efficient operation of the office. This role involves handling a variety of administrative tasks, managing communications, organizing schedules, and assisting staff and management with day-to-day activities. The ideal candidate is detail-oriented, proactive, and capable of multitasking in a fast-paced environment.

Key Responsibilities:
n
Administrative Support
n
n
Answer and direct phone calls, emails, and other correspondence.
n
Prepare and edit documents, reports, and presentations.
n
Maintain organized filing systems (electronic and paper).
n
Schedule meetings, appointments, and travel arrangements.
n
Assist in the preparation of regularly scheduled reports.
n
n
Office Coordination
n
n
Monitor and maintain office supplies inventory.
n
Manage incoming and outgoing email enquiries.
n
Assist with workspace setup for new employees (desks, IT equipment, supplies).
n
Maintain office calendars, including meeting room bookings and shared resources.
n
Ensure compliance with health and safety standards in the office workplace.
n

Staff & Client Interaction
n
n
Greet and assist visitors, stakeholders and clients professionally.
n
Provide administrative support to staff and management, specifically the CEO, Managers and HR Lead.
n
Assist with onboarding of new employees and training logistics.
n
Maintain confidentiality of sensitive information.
n
n
Data Entry & Record Keeping
n
n
Input and update data in spreadsheets, databases, and systems.
n
Maintain accurate records, such as meeting minutes.
n
Provide administrative support for departmental and cross-functional projects.
n
Prepare project documentation, meeting agendas, and status reports.
n
Maintain project files and ensure version control of documents.
n
n
Qualifications and Training:
n
n
Certificate or Diploma in Business Administration or related field.
n
1-2 years of experience in an administrative or clerical role
n
Maintaining all industry and organisational-related mandatory clearances
n
n
Experience s Knowledge
n
n
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
n
Strong organisational and time-management skills.
n
Excellent written and verbal communication abilities.
n
Ability to work independently and collaboratively, and a high level of professionalism and discretion.
n
n
This is a part-time role of 24 hours per week. We offer flexibility in how those hours are worked, with the option to work three full days (9:00am to 5:00pm) or shorter days across four days, subject to operational requirements.
