About the Role
We're a trusted and growing Melbourne-based electrical services group, delivering commercial, industrial and infrastructure projects across Victoria through two connected streams: Project Delivery and Service & Maintenance. We're growing quick, and we need someone to keep every job moving smoothly from win to start to close out.
As our Operations Lead, you'll take real ownership of the day-to-day running of the business: service coordination, O&M; and SWMS support, admin, purchasing, stock, fleet and office management, so the Director can step back from being across every department personally.
This is a hands-on, all-round role, not a desk-bound management role. You'll be leading the work yourself: running service jobs, chasing access and inductions, assisting Project Managers with O&M; manuals and as-builts, keeping SWMS and licence registers current, and making sure nothing falls through the cracks.
You're not expected to be an electrician. The Director and Project Managers are there to support and guide on the technical calls, and everything else is yours to run.
As you prove out the role and the business grows off the back of it, there is potential for this position to become a genuine management position with a team built out under you. It's a real opportunity to help shape what the business becomes next, not just fit into what it already is.
Key Responsibilities
Service Coordination
Keeping our Service & Maintenance clients' sites running starts with you.
- Create and own service jobs end to end: contacting the client, confirming access requirements, and booking in dates and times for the work
- Order materials for service jobs
- Invoice completed service work
- Bring staged jobs to labour meetings with the Project Manager or Director to pencil in the right people, then go back to the client to lock in the booking
- Make sure no job gets forgotten between being won and being scheduled
Job Coordination & Site Readiness (Project Work)
Setting our Project Delivery teams up to hit the ground running.
- Confirm site access, site contacts, inductions and time slots before jobs start
- Book and track inductions with enough lead time that no one is turned away from site
- Catch and resolve any gap before a job starts, not after
- Assist Project Managers with raising purchase orders when they're on the road, or for basic fundamentals
People, Safety & Compliance
Keeping our people safe, qualified and supported.
- Own OHSE administration, safety records and incident reporting
- Run SWMS lodgement personally, day to day
- Maintain training plans and licence/ticket registers, with expiry tracking
- Handle day-to-day HR administration and filing
- Support recruitment when needed: sourcing, screening, scheduling interviews
O&M; Manuals, Documentation & Systems
Helping close out projects properly, and building smarter ways of working.
- Assist Project Managers with O&M; manuals: draw them up, order materials like switchboard and equipment labels, coordinate as-builts with the draftsman, and compile supporting documents (test data, conformance letters, warranty sections)
- Maintain project file structures in OneDrive so anyone can find what they need
- Own software subscriptions, system access and hardware assets, and be first point of contact for system issues
- Identify and scope automation, AI and systems improvements, and help build them out
Office & Business Operations
Keeping the engine room running.
- Run general office administration
- Ensure the fleet is maintained and road ready, coordinating servicing directly or through support staff
- Maintain oversight of materials and stock levels so nothing is missing on the day
- Track and resolve supplier credits and returns
- Respond to client queries directly and promptly, chasing down answers internally so clients always get a real response
About You

- Sharp and proactive, quick to pick up new systems and processes, and always getting ahead of what's coming rather than reacting after the fact
- Organised and reliable: nothing gets forgotten, no email goes unanswered, and every customer gets a punctual response
- A clear communicator, comfortable talking to clients, tradespeople, Project Managers and the Director
Construction or electrical industry experience is a bonus, not a requirement. The right attitude and capability matter more.
Who You'll Work Alongside
You'll be part of a tight, supportive team, while running your areas yourself rather than handing them off.
- The Director and Project Managers support and unblock you on technical or trade-specific matters only. Site access, contacts, scheduling, materials and day-to-day job coordination are yours to sort out without needing to get us involved.
- Project Managers own their own estimating and project delivery, and you'll assist with O&M; manuals, as-builts and purchase orders when needed.
- The Accounts Manager owns accounts receivable, payable and bookkeeping.

Success looks like:
- Service jobs being created, staged and booked in smoothly, with clients kept in the loop from start to finish
- Site readiness and induction processes running well, with the office and field in sync
- The licence and ticket register fully up to date, with expiry tracking ahead of any risk
- At least one automation or systems opportunity scoped and moving toward implementation
