The business

n

A family-run timber treatment business. Timber starts at the family sawmill in Mount Gambier (30 years running),



comes to Melbourne to be treated (structural timber for housing and outdoor structures, plus fencing and sleeper materials), and is then wholesaled, mostly into Bunnings, Mitre 10 and smaller fencing yards across Victoria and beyond.

The Melbourne operation has grown steadily over 20 years. They fly a little under the radar (clients are often surprised how big they are when they visit), do things with minimum fuss, and are always investing in new machines and ideas. It's a genuinely good, stable business with a warm, close-knit team.

n

The team and the role You'll work directly with the owners, in a small team (around 8, up to 12 when busy), with a dotted line to the Mount Gambier office for finance reporting. There's no hierarchy here, everyone's hands-on and gets out on the floor, so you need to be someone who can talk to anyone and adapt to a small group.

This is the broad, hands-on administration role that keeps the site running. It spans accounts and finance, sales and purchasing, inventory and dispatch, payroll and WHS admin, plus general site administration. The phones run hot with orders, changes and enquiries, so a big part of the job is fielding and coordinating those while keeping the systems accurate.

n

Crucially, this is not a sit-behind-a-screen-and-tap-away role. They want someone who gets involved, adapts, and shows real initiative, the kind of person who puts an idea in front of Andy and says "let's run with this," rather than just working through a task list.

What you'll do

n

Accounts and finance admin

n

n
- Process supplier and customer invoices, payments and statements through MYOB and Timbersmart
n
- Reconcile invoices, dockets, receipts and purchase orders, and maintain customer accounts
n
- Work with the Mount Gambier office for accurate monthly reporting, and resolve routine account queries
n

n

Sales, purchasing and inventory admin

n

n
- Enter and maintain sales and purchase orders
n
- Coordinate truck dispatch, deliveries and stock movements, and process incoming stock and transfers
n
- Maintain inventory records and order operational consumables
n

n

Site and business admin

n

n
- General support to the owners and team, plus records, filing and correspondence
n
- Coordinate stationery, kitchen and office supplies
n
- Proactively follow up and improve how things run
n

n

Payroll admin

n

n
- Prepare and process weekly Melbourne payroll and review timesheets for accuracy
n
- Maintain records and confidentiality, and resolve routine payroll queries
n

n

WHS admin

n

n
- Support WHS records, registers and reporting
n
- Coordinate agendas and minutes for toolbox and safety meetings
n




- Run scheduled safety walk-arounds with a weekly report, and follow up and elevate actions
n

n

Who we're looking for

n

n
- A strong, hands-on generalist who wants to get their hands dirty and keep a busy site humming
n
- Broad administration, accounts or site-support experience across AP/AR, invoicing, payroll and general financial admin
n
- Experience with purchasing, inventory, stock control or dispatch administration
n
- Comfortable with MYOB and Timbersmart (or similar accounting or business systems) and strong on Microsoft Office
n
- Genuine accuracy, attention to detail and strong organisational skills
n
- Proactive, takes ownership, and brings ideas and solutions forward rather than waiting to be told
n
- A warm, adaptable communicator who thrives in a small, close-knit, no-hierarchy team
n
- Comfortable being on site and around an operational yard, and open to getting a forklift licence if keen
n

- Anyone who only wants to sit behind a screen doing one thing all day (invoices only, or stock only)

- Ivory-tower or "too corporate" types, this is hands-on and get-involved
n
- People who need heavy structure or a big team around them
n
- Anyone who won't show initiative or take ownership

- Anyone precious about an operational environment (see the honest note below)

- Someone set on full-time work-from-home, the site needs you present for the phones and the floor

Must-haves

n

n
- Broad administration or office-coordination experience across accounts, invoicing and general business admin
n
- Comfortable across multiple functions and juggling competing priorities
n
- Strong systems and record-keeping skills (MYOB or Timbersmart or similar highly regarded)
n
- A hands-on, proactive, take-ownership approach
n
- Current drivers licence, and comfortable working onsite in Dandenong South
n

n

Nice to haves

- Experience in timber, manufacturing, logistics or a similar operational environment
n
- Payroll and WHS administration experience
n
- Purchasing, inventory or dispatch coordination experience
n
- Admin certificate and/or first aid

One honest note

n

The timber treatment process uses a kerosene-based product, so there's a noticeable but harmless treatment smell around the site. Nobody who works here notices it after a while, and there's never been an issue, but we mention it upfront so it's no surprise. This is a working yard, not a corporate office.
