TMJ Clinics Pty Ltd is seeking a dedicated and organised part-time Clinic Administration Assistant to join our team in Brisbane on a Tuesday and Wednesday. As a Clinic Administration Assistant, you will be the backbone of our clinic's daily operations, ensuring smooth administrative processes and providing excellent support to both clinical staff and patients. This role is essential to maintaining the efficiency and professional standards of our healthcare facility.
Key responsibilities
Managing patient appointments, scheduling, and calendar organisation using clinic management systems
Greeting and registering patients at reception, ensuring a welcoming and professional first impression
Collecting and processing patient information, insurance details, and medical history forms
Answering telephone enquiries and directing calls appropriately to clinical or administrative staff
Processing patient invoices, managing payments, and maintaining accurate financial records
Maintaining confidential patient files and ensuring compliance with medical privacy regulations
Coordinating communication between patients, healthcare providers, and external organisations
Ordering and managing clinic supplies and equipment inventory
Performing general administrative duties including data entry, filing, and document preparation
Supporting the clinic team with ad hoc tasks to ensure smooth day-to-day operations
What we're looking for
Previous experience working in a healthcare, medical, or clinical setting, with exposure to medical administration
Proficiency in using medical practice management software and Microsoft Office Suite
Strong organisational and time management skills, with the ability to prioritise multiple tasks
Excellent written and verbal communication skills and professional demeanour
Demonstrated ability to maintain patient confidentiality and understand healthcare privacy requirements
Customer service excellence with patience and empathy when dealing with patients
Accuracy and attention to detail in administrative and data entry tasks
Ability to work independently and as part of a collaborative healthcare team
