The opportunity

Holimpact is seeking a highly organised, proactive, and detail-oriented Executive Assistant to support the Founder/Director and the team with day-to-day operation of the consultancy. This is a hands-on role for someone who enjoys bringing structure to a fast-moving small business, can manage a broad range of administrative responsibilities, and has an interest in sustainability and fashion.

The successful candidate will be based in Cairns and will work closely with the Director across executive support, bookkeeping and financial administration, client and project coordination, presentation development, communications, and website content and design management.

Executive and administrative support

- Provide high-quality day-to-day executive assistance to the Founder/Director.

- Manage calendars, schedule meetings, coordinate travel, prepare itineraries and track follow-up actions.

- Prepare meeting agendas, take accurate meeting minutes, and maintain action registers.

- Draft, format, and proofread professional documents.

- Maintain organised digital filing systems, contact databases, templates, contracts and other business records.

- Support client and project administration, including tracking deadlines, deliverables, approvals and key communications.

- Coordinate suppliers, consultants and other service providers as required.

- Identify practical ways to improve administrative systems, workflows and internal organisation.

Bookkeeping and financial administration

- Maintain accurate day-to-day financial records in specific accounting tools, including transaction coding, reconciliations, and supporting documentation.





- Prepare and issue client invoices, monitor receivables and follow up on outstanding payments.

- Process supplier invoices, expense claims and payment information for approval.

- Maintain orderly records of invoices, receipts, contracts, project expenses and financial documents.

- Assist with cash-flow tracking, budget monitoring, project cost tracking and financial reporting.

- Prepare and present/discuss information with external accountants, bookkeepers, tax advisers and project reporting requirements as needed.

Presentations, communications and design support

- Develop, format and refine high-quality PowerPoint presentations, proposals, and client materials.

- Apply consistent visual formatting, templates and brand standards across presentations and business documents.

- Provide light graphic-design support for project presentations, social media, reports, infographics and communications materials.

- Assist with maintaining and updating the Holimpact website, including basic page and design content.

- Support communications planning and content preparation where required.

- Coordinate supporting communications assets from internal and external contributors.

Language skills

- Communicate professionally in English and French with relevant stakeholders.

- Assist with drafting, reviewing or translating routine business correspondence and administrative materials between English and French.

About you

Essential skills (required)

- Demonstrated experience as an executive assistant, personal assistant, office coordinator, project administrator or similar operations-focused role

- Strong practical experience with Xero (Australian bookkeeping - required), including invoicing, reconciliations,



expense administration and routine financial reporting

- Excellent organisational skills, sound judgement, and the ability to manage multiple priorities with minimal supervision

- Professional written and verbal communication skills in French and English, including the ability to write clear business emails and communicate confidently with French and English-speaking stakeholders

- Advanced capability in Microsoft PowerPoint and robust skills in Microsoft Office or Google Workspace, particularly Word/Docs, Excel/Sheets, email and calendar systems

- High attention to detail

- Ability to handle confidential commercial, financial and client information with discretion and professionalism

- Full working rights in Australia

- Ability to work from Cairns, Queensland, including attending in-person meetings when required

Desirable skills (optional)

- Graphic-design capability and confidence using tools such as Canva, Adobe Creative Cloud or similar platforms.

- Experience maintaining a website using a content management system such as GoDaddy, WordPress, Squarespace, Wix or similar.

- Experience supporting a small consultancy, founder-led business, not-for-profit, social enterprise or international project team.

- Experience with multi-currency transactions, international suppliers, project budgets, grants or donor reporting.

- Experience or a pronounced interest in sustainable fashion and luxury, biodiversity, conservation, positive social or environmental impact, and responsible sourcing.

- Ability to travel domestically and internationally

Role details

- Location: Cairns, Queensland. This is a Cairns-based position.

- Employment type: Part‑time, with hours and arrangement to be agreed based on the successful candidate’s experience and availability.

- Reporting line: Founder/Director, Holimpact.

- Eligibility: Applicants must have full working rights in Australia.

- Salary range depending on expertise: $60.000 – $80.000 full‑time equivalent

Note: applicants without permanent working rights in Australia will not be considered for this position.
