We are seeking a motivated and adaptable Dental Clinic Coordinator to support the coordination of our volunteer dental programs.

About Us

The Australian Dental Association (NSW Branch) is the peak professional association representing more than 5,000 dentists and dental students across NSW and the ACT. As a not-for-profit organisation, we support the profession through advocacy, education, professional development, networking, and practice support.

Filling the Gap through our partners and volunteers provides pro bono dental treatment for vulnerable people who are unable to access mainstream oral health services. We hold 2 clinics a month for Filling the Gap.

The Opportunity

You will play a key role in the coordination of our volunteer dental programs administered by ADA NSW, Filling the Gap (FTG) and the ADA Dental Health Foundation (ADA DHF) ensuring our clinical programs run smoothly and professionally. The role coordinates volunteers, patients and referring organisations; supports safe and efficient clinic operations; maintains clinical supplies and equipment; and contributes to strong stakeholder relationships, program reporting and continuous improvement

This role is ideal for someone who is proactive, organised, technically capable, and committed to delivering an outstanding experience.

About You

You are a self-starter who takes initiative,



enjoys problem-solving, and consistently demonstrates professionalism and attention to detail.

You will bring:

- Minimum 3 years' experience in a clinical dental environment
- Certificate IV in Dental Assisting (Dental Radiography) or a willingness to work towards obtaining this qualification
- Radiation User Licence (IA24 highly desirable)
- Sound knowledge of dental procedures, terminology, equipment and clinical workflows
- Experience in coordinating dental clinic operations, including appointment scheduling, stock management and equipment readiness
- Experience working with or coordinating volunteers
- Experience developing and maintaining clinical procedures, checklists and operational documentation
- Experience maintaining accurate patient, volunteer and program records whilst maintaining privacy and confidentiality
- A commitment to infection prevention and control, sterilisation protocols and workplace safety and best-practice clinical standards
- Competent in Microsoft Office Suite and practice management systems
- Familiar with software used for digital radiography and imaging
- Excellent communication and interpersonal skills
- Strong organisational and time management abilities
- A positive, flexible and customer-focused approach
- The ability to manage competing priorities in a busy environment and adapt to unexpected situations and changing priorities
- A willingness to learn, contribute ideas,



and continuously improve processes

Key Responsibilities

- Coordinate FTG, ADA NSW and ADA DHF program operations and act as a key contact for volunteers, patients, referring organisations and stakeholders.
- Prepare program reports, statistics and operational updates.
- Coordinate patient referrals, appointments and communications, maintaining accurate and confidential records.
- Proactively recruit, onboard and engage volunteer dental professionals and practices to support participation and retention.
- Coordinate clinic readiness, including equipment, instruments, consumables and stock are available prior to each clinic.
- Support compliance with infection prevention and control, clinical guidelines, policies and regulatory requirements.
- Maintain stakeholder, sponsor and donor relationships and provide required program reports and updates.
- Support FTG communications and social media activities by providing relevant program updates and volunteer stories.
- Drive continuous improvement through the development and review of procedures, checklists, workflows and administrative processes.
