Senior PA to The Managing Director / Real Estate & Group Coordination
You will provide direct support to the Managing Director of Limnios Property Group, a privately owned Perth business spanning real estate sales and property management, commercial property, development and project management, property investments, hotel and accommodation assets, government projects and community leadership. This is a hands-on role requiring you to prepare and manage important documents, organise information, coordinate people and deadlines, and follow up agreed actions. You will be close to significant decisions, but you must also be willing to get into the detail and make sure the work is accurate and complete.
Key responsibilities
Manage the Managing Director's diary, meeting requests, travel and priorities
Triage email and other requests, identify decisions required and draft clear, qualified replies
Prepare meeting briefs, agendas, presentations, proposals and correspondence
Capture ideas, decisions and commitments, distinguishing agreed actions from matters still under consideration
Maintain an action register and follow up with staff, advisers, consultants and external stakeholders
Raise conflicts, missing information and overdue actions early, with a suggested next step
Prepare, format, organise and track property and project documents, including proposals, sale and leasing materials, consultant briefs, scopes, tender submissions, development and funding papers, meeting records and governance documents
Maintain clear document control, including accurate names, entities, dates, versions, approvals and filing
Coordinate the collection of information and documents from internal teams, consultants, lawyers, financiers and government agencies
Track key dates and documentation requirements for transactions, approvals, contracts, tenders, meetings and project milestones
About you
Several years' experience as a Senior PA, Personal Assistant or Executive Assistant in real estate, property development, construction, property investment or a closely related field
A strong working understanding of real estate and property processes, such as sales, leasing, property management, development projects or approvals
Experience preparing, coordinating and maintaining formal business or property documentation with a high level of accuracy
Strong document control habits, including checking names, dates, entities, versions, attachments and approval status
A reliable system for managing diaries, decisions, documents, follow-ups and deadlines
Excellent written communication and the ability to prepare polished material for clients, consultants, financiers and government stakeholders
Sound commercial judgement, discretion and confidence raising questions when information is missing or inconsistent
Strong Microsoft 365 skills, particularly Outlook, Word, PowerPoint, Excel and Teams

We are an owner-led business of around 20 people with no large executive support team.
