About the role
n
As an Administration Assistant, you will play an important role in supporting the day-to-day operation of our sites and programs.
n
You will provide professional reception, administration, data entry and general office support while working closely with program teams to ensure client enquiries are managed accurately, efficiently and respectfully.
n
This is a varied role where no two days are necessarily the same. Your responsibilities will include:
n
n
- Providing welcoming and professional front-of-house and reception services
n
- Greeting visitors, answering and transferring calls and managing correspondence and mail
n
- Supporting client enquiries, intake and referrals by providing accurate information and directing clients to the appropriate programs
n
- Providing administrative, clerical, data entry and reporting support
n
- Maintaining accurate records, documents and confidential client information
n
- Supporting fee-for-service processes, including HICAPS, Medicare billing and workers' compensation processes
n
- Ordering office supplies and maintaining an organised and welcoming reception area
n
- Supporting community events and activities when required
n
- Assisting with fleet bookings and other operational tasks
n
- Supporting site-based WHS requirements, inspections and emergency procedures
n
- Working collaboratively with teams across Centacare to support quality service delivery
n

About you (Essential Criteria)
n
We are looking for someone who is organised, approachable and solution-focused, with the ability to work confidently in a busy environment.
n
You will ideally have:
n
n
- Qualifications or relevant experience – A qualification in Business Administration or relevant experience in administration, reception or a similar client-facing role.
n
- Communication skills – Strong communication and interpersonal skills, with a skilled, friendly and efficient approach to client service.
n
- Technology skills – Intermediate to advanced Microsoft Office skills and confidence using databases or client management systems.
n
- Organisation and attention to detail – Strong attention to detail and the ability to manage competing priorities in a busy environment.
n
- Professional approach – A commitment to providing high-quality administrative support and working collaboratively with clients, colleagues and stakeholders.
