Reporting to the Business Manager, as Office Manager you will play a critical hands-on role in leading the administration team and ensuring the delivery of high-quality administrative support that underpins Refugee Legal's daily operations.
As a working manager, you will balance team leadership with direct involvement in frontline administrative functions, including reception, client enquiries, and general office administration.Key responsibilitiesSupervising and assigning tasks to frontline administration staff and volunteers in their rolesProviding ongoing support and training to the administration team, ensuring high-quality work and levels of engagementServing as primary point of contact for the frontline administration team regarding questions in relation to the administration team's duties and responsibilitiesHandle day-to-day data entry of information into file and database systems to ensure accurate and prompt recording of client and administrative mattersAssist with client follow-up, including email correspondence, organising appointments and booking of interpretersAnswer phone calls promptly, handle client and general queries by telephone, email or in person, warmly welcoming clients and other visitorsPrepare and distribute general office correspondence, general information about Refugee Legal services or internal policies and proceduresSupervise the office setting, including room bookings and ordering/replenishing office supplies, equipment and amenitiesAbout youPrior experience within an Administration,
Assistant or Office Manager positionDemonstrated ability to lead, supervise and engage a small teamStrong administrative skills with high levels of attention to detail, plus capable with common computer systems like Microsoft Office 365Excellent organisational and time management skills, with the ability to set priorities, manage workload, work under pressure, and meet deadlines with limited supervisionHighly developed telephone, written, oral communication and interpersonal skills, with a focus on providing strong customer serviceAn understanding of the importance of and adherence to confidentialityValues alignment with Refugee LegalAbout usRefugee Legal is an independent community legal centre specialising in refugee and immigration law, policy and practice.
