ECS (Australia) Pty Ltd is seeking an experienced and highly organised Finance & Logistics Administration Coordinator to join our team in Keilor Park.This is a key role supporting the financial and operational activities of our international logistics and warehousing business.
Reporting to management, you will be responsible for accounts administration, customer invoicing, debt collection, warehouse billing, account reconciliations, and supporting finance-related processes across the business.The successful candidate will have strong attention to detail, excellent organisational skills, and a solid understanding of the freight forwarding, logistics, or warehousing industry.Key Responsibilities:Prepare and issue warehouse storage, handling, and related service chargesMonitor debtor accounts and actively follow up outstanding paymentsReconcile customer and supplier accountsProcess accounts receivable transactions accurately and efficientlyAssist with accounts payable functions as requiredReview and validate operational charges to ensure accurate customer billingMaintain financial records and supporting documentationLiaise with customers, suppliers, warehouses, and operational staff regarding account queriesAssist with month-end reporting and finance administration activitiesSupport continuous improvement initiatives and process complianceEnsure data accuracy and integrity within CargoWise and related systemsManagement of company expenses and credit cardsOffice related duties as requiredSkills & Experience:Previous experience in Accounts Receivable, Accounts Administration,



Finance Administration, or a similar roleExperience within the international freight forwarding, logistics, transport, customs, or warehousing industriesStrong working knowledge of CargoWiseExperience with debtor management and collection of outstanding accountsStrong attention to detail with a high level of accuracyExcellent organisational and time management skillsAbility to manage multiple priorities and meet deadlinesStrong written and verbal communication skillsIntermediate to advanced Microsoft Excel skillsProcess-driven approach with the ability to follow established proceduresHighly Regarded:Warehousing billing experienceUnderstanding of freight forwarding cost structures, carrier charges and warehouse charging modelsExposure to inventory and distribution operationsExperience assisting with month-end financial processesUnderstanding of international shipping and supply chain operationsPersonal Attributes:Reliable and accountableProactive and self-motivatedCustomer-focused with a skilled approachAnalytical and detail-orientedCapable of working both independently and as part of a teamComfortable engaging with customers regarding outstanding accountsCommitted to maintaining accurate records and high-quality outcomesFocused on continuous improvement and efficiencyWhat We Offer:Stable, long-term career opportunitySupportive and collaborative team environmentExposure to a diverse international logistics and warehousing operationCompetitive salary based on experience
