All Data and Communications - Port Of Brisbane QLDReporting to the State Manager, with close support from the CFO, and working day-to-day alongside Project Managers, you'll be the administrative backbone of project delivery.
You'll look after the contracts, claims, procurement, QA and compliance administration that keeps projects on track – so PMs can stay focused on delivery.
This is a hands-on, full-time role (38 hours per week), predominantly based at the Port of Brisbane site office, with the flexibility to visit the Northside office as needed.Key responsibilitiesSetting up jobs and quotes in simPRO with the correct client, cost centre, scope and filing structurePreparing and submitting progress claims, invoices and retention claims – including statutory declarations and supporting certificatesManaging RFIs, variations and contract correspondence, and keeping registers and trackers currentRaising purchase orders and work orders, and receipting supplier invoices against themComparing supplier pricing and ordering materials as requested by PMsReviewing job costs, cost-to-complete and P&L; reports with PMs, and supporting month-end reconciliation to XeroChecking day works and labour records against the simPRO schedule ahead of payrollVerifying subcontractor and supplier compliance – licences, SWMS, insurances and inductions – before anyone steps on site or a PO is issuedCoordinating employee and contractor inductions through client systems and portalsPreparing and maintaining ITPs and ITRs, QA reporting and project handover packagesAbout yousimPRO experienceAdministration experience in construction,
trades or a related industryConfidence with contract documentation, progress claims, variations and retentionsStrong Excel skills and a high level of attention to detail and data accuracyStrong organisation and communication skills – you'll liaise daily with PMs, site crews, subcontractors and clientsXero or similar accounting software experience (highly regarded)QA document control (ITPs/ITRs) or WHS compliance administration experience (highly regarded)Experience with client compliance and induction portals such as HammerTech or CM3 (highly regarded)A background in electrical, data or communications contracting (highly regarded)About usADC is a Brisbane-based specialist in data and fibre infrastructure, electrical, security, audio-visual and communications systems.
