Key Responsibilities Policy & File Administration n
n
n
Process recent policy applications, renewals, endorsements, and cancellations in compliance with company and regulatory standards.
n
n
Issue certificates of insurance (COIs), cover notes, and policy documentation accurately and in a timely manner.
n
n
Review application forms and policy documents to verify accuracy and resolve discrepancies.
n
Client & Stakeholder Communication n
n
n
Serve as a primary point of contact for routine administrative inquiries from clients, brokers, and underwriters via phone and email.
n
n
Follow up with clients to collect outstanding documentation, signatures, or premium payment confirmations.
n
n
Assist clients with routine updates, such as changes of address or policy adjustments.
n
Data Management & Compliance n
n
n
Maintain and update client databases,
CRM records, and policy management systems.
n
n
Ensure strict compliance with data privacy regulations and confidential handling of client data.
n
n
Prepare routine administrative reports on renewals, policy statuses, and premium tracking.
n
Operational Support n
n
n
Assist with billing support, including invoicing, premium reconciliation, and payment tracking.
n
n
Support the claims team by logging initial loss notifications and forwarding documents to adjusters.
n
n
Identify opportunities to streamline administrative workflows and improve operational efficiency.
n
Qualifications & Skills Required: n
n
n
Education:
High school diploma or equivalent (Associate's or Bachelor's degree preferred).
n
n
Experience:
2+ years of administrative experience, preferably within an insurance agency, brokerage, or financial services environment.
n
n
Technical Skills:
Proficiency in MS Office Suite (Word, Excel, Outlook) and familiarity with CRM or policy management systems.
n
n
Detail Orientation:
Exceptional accuracy in data entry and document review.
n
n
Communication:
Strong written and verbal communication skills with a skilled demeanor.
n
n
Organisation:
Demonstrated ability to prioritize tasks, manage high volumes of work, and meet strict deadlines.
n
Preferred: n

n
Relevant industry license or certifications (e.g., Tier 2 / Tier 1 Insurance Broking, Agent/Broker License, or AIS certification).
n

Working knowledge of commercial or personal lines insurance products.
