Position: Office/Administration Manager

Position Type: Full-Time

Salary: $80,000 plus superannuation per annum

Location: Marsden Park NSW 2765

Our client is seeking Office/Administration Manager to join their team located in Marsden Park, New South Wales.

The Office/Administration Manager is responsible for managing the company's administrative operations and ensuring the efficient coordination of its office systems, staff and resources. The position supports the company's removal and relocation services by overseeing bookings, customer administration, documentation, accounts coordination, office procedures and communication between clients and the property management teams.

Key Duties and Responsibilities:

- Office Operations Management - Manage the day-to-day operations of the office, and oversee administrative functions to ensure the office operates efficiently, professionally and in accordance with business requirements.
- Staff Supervision and Coordination - Supervise and provide guidance to administrative and support staff, coordinate workloads and workflow between the administration, property management and sales teams, and ensure operational priorities and deadlines are appropriately managed.
- Office Procedures and Administrative Systems - Develop, review, implement and maintain office procedures, policies, checklists and administrative systems to improve operational efficiency, productivity, consistency and accountability across the business.
- Business Performance and Operational Support - Monitor office performance, identify opportunities to improve productivity and service delivery, and assist management with business planning, operational reporting and performance monitoring.
- Budget and Expenditure Administration - Manage office budgets and oversee expenditure relating to office operations, supplies and administrative requirements, including reviewing invoices,



coordinating supplier payments and liaising with external accountants where required.
- Procurement, Equipment and Facilities - Coordinate the procurement and maintenance of office equipment, technology, supplies and facilities and liaise with external suppliers, contractors and service providers as required.
- Records and Document Management - Maintain accurate business records, databases, registers and document management systems and ensure administrative documentation is appropriately maintained, organised and accessible.
- Human Resources Administration - Assist with staff onboarding, training coordination, leave records, payroll administration, performance monitoring, team meetings and other general human resources administration.
- Compliance and Risk Administration - Monitor and support compliance with relevant real estate legislation, workplace health and safety requirements, privacy obligations and company policies and procedures, and escalate identified compliance or operational issues to management where appropriate.
- Trust Account Administration - Oversee trust account administrative processes in conjunction with the Principal Licensee and accounting team and ensure relevant records and supporting documentation are maintained in accordance with applicable legislative and business requirements.
- Property and Agency Administration - Support the preparation and administration of property-related documentation, including agency agreements, leasing documentation and other sales or property management records,



and provide administrative support to the property management and sales teams where required.
- Client and Stakeholder Liaison - Act as a key point of contact for clients, landlords, tenants, suppliers, contractors and staff, respond to enquiries professionally and assist with the timely resolution or escalation of administrative and operational issues.
- Internal Communications and Training - Coordinate internal meetings, staff communications and training sessions and assist management in ensuring employees understand and follow relevant office procedures and company policies.
- Management Reporting and Continuous Improvement - Prepare management reports, operational summaries and administrative documentation, monitor office performance and recommend improvements to administrative systems, workflows and business processes to improve productivity, service quality and operational efficiency.

Requirements:

- Diploma or Advanced Diploma in Business, Management, Real Estate Practice or a related discipline; or
- At least two (2) years of relevant full-time experience in office management or business administration.
- Demonstrated experience in office management, business administration or operations management, preferably within the real estate industry.
- Strong organisational and time management skills with the ability to manage multiple priorities.
- Excellent leadership and staff coordination abilities.
- High level communication and interpersonal skills.
- Strong problem-solving and decision-making capabilities.
- Experience using real estate software platforms and Microsoft Office Suite.
- Sound understanding of administrative systems, record management and business operations.
- Ability to work independently while supporting a collaborative team environment.
- Solid attention to detail and commitment to accuracy.
- Professional presentation and customer-focused approach.
