Location: Victorian Centre for Mental Health, Officer VIC 3809

Hours: Part-time, Monday–Friday between 9:00am and 5:00pm

Award: Health Professionals and Support Services Award 2020 [MA000027]

About the Role The Victorian Centre for Mental Health is seeking a friendly, qualified and highly organised Receptionist / Administration Assistant to join our team.

The Victorian Centre for Mental Health provides specialist mental health services in a supportive and compassionate environment. As part of our administration team, you will play an significant role in supporting our patients, clinicians and the day-to-day operation of the hospital.

This is a varied role suited to someone who enjoys working with people, is confident managing competing priorities and can provide a high standard of administrative and customer service support in a healthcare environment.

Key Responsibilities

Your responsibilities will include

- Welcoming patients, families, visitors and staff and providing friendly and professional assistance
- Managing incoming phone calls and emails in a timely, qualified and empathetic manner
- Scheduling, confirming and managing patient appointments
- Responding to general patient enquiries and directing clinical enquiries to the appropriate team member
- Maintaining accurate patient information, records and documentation within our practice management system, Halaxy
- Managing electronic and paper-based files and ensuring records are maintained accurately and confidentially
- Processing general administrative documentation, correspondence and forms




- Providing administrative support to psychiatrists, clinicians, management and other members of the team
- Liaising professionally with GPs, specialists, healthcare providers, hospitals, third-party organisations and other stakeholders
- Billing, invoicing and payment-related administrative tasks
- Supporting general reception and office administration duties
- Maintaining patient privacy and confidentiality at all times
- Following hospital policies, procedures and administrative processes
- Assisting with other reasonable administrative duties as required to support the smooth operation of the hospital

About You We are looking for someone who is approachable, reliable and comfortable working in a busy mental health environment.

The successful candidate will ideally have:

- Previous experience in reception, administration or customer service, with healthcare or medical administration experience highly regarded
- Excellent verbal and written communication skills
- A warm, professional and empathetic approach when communicating with patients and families
- Strong organisational and time-management skills
- Excellent attention to detail and accuracy




- Confidence managing multiple tasks and competing priorities
- Strong computer skills, including proficiency in Microsoft Office
- Experience with practice management or medical software, such as Halaxy, or the ability to learn new systems quickly
- The ability to work both independently and collaboratively as part of a team
- A strong understanding of confidentiality and the importance of handling sensitive information appropriately
- The ability to remain calm, professional and respectful when managing sensitive or challenging situations
