AHA Therapies is a growing NDIS behaviour support and allied health provider delivering person-centred services to NDIS participants.

We are seeking an organised, reliable and proactive Administration & HR Coordinator to support the day-to-day administration and people-related functions of our growing organisation.

This is a varied role suited to someone who enjoys working across administration, recruitment, HR coordination, compliance and staff support and can manage multiple tasks while maintaining confidentiality and attention to detail.

About the Role The Administration & HR Coordinator will provide administrative and HR support to the business and clinical team.

The successful applicant will work closely with management and staff to ensure administrative processes are organised, employee records are maintained, recruitment and onboarding activities are coordinated, and key HR and compliance tasks are followed up.

This is a coordination and administration role. It is not a clinical position and does not involve providing therapy to NDIS participants.

Key ResponsibilitiesAdministration

- Manage general day-to-day administrative tasks.
- Maintain electronic employee and business records.
- Organise and maintain documentation, forms and registers.
- Assist with scheduling meetings, interviews and staff activities.
- Prepare correspondence, documents and internal communications.
- Maintain accurate records and follow up outstanding tasks.
- Assist management with administrative projects and business processes.
- Manage emails and respond to routine enquiries appropriately.
- Maintain confidentiality when handling participant, employee and business information.

Recruitment
- Post and manage job advertisements through platforms such as Indeed.
- Review and organise candidate applications and résumés.
- Conduct initial candidate screening against position requirements.
- Coordinate interviews and communicate with applicants.
- Request additional information or documentation from candidates where required.
- Maintain recruitment records and candidate information.
- Assist with reference checks and pre-employment documentation.
- Coordinate onboarding once a candidate is appointed.

HR Administration




- Maintain accurate employee records and personnel files.
- Assist with preparing employment documentation and onboarding paperwork.
- Track probation periods, employee reviews and relevant HR dates.
- Maintain staff training and professional development records.
- Assist with leave and attendance administration.
- Maintain HR registers and compliance documentation.
- Assist management with staff communications and HR-related administration.
- Follow up outstanding employee documentation and requirements.

Compliance & Staff Records
- Assist with maintaining records relating to mandatory staff requirements.
- Monitor and follow up staff documentation and compliance items.
- Maintain staff training and induction registers.
- Assist with NDIS-related worker documentation and administrative requirements.
- Ensure records are stored appropriately and confidentially.
- Support management in maintaining audit-ready documentation.

Payroll & Finance Administration
- Assist with collecting and checking timesheets and payroll information.
- Liaise with the accountant or payroll provider when required.
- Assist with resolving administrative issues relating to payroll and employee records.
- Maintain relevant payroll and financial administration records.
- Follow up outstanding payroll or accounting matters with the relevant external provider.

- Able to work in a fast-paced and growing organisation.

Essential Skills & Experience
- Previous experience in administration, HR administration, recruitment or a similar coordination role.
- Strong organisational and time-management skills.
- Excellent written and verbal communication.
- Strong attention to detail.
- Experience maintaining confidential records.
- Good computer literacy and confidence using Microsoft Office and/or Google Workspace.
- Ability to manage multiple tasks and prioritise effectively.

Desirable Experience Experience in one or more of the following will be highly regarded:
- HR administration.
- Recruitment and candidate screening.
- NDIS or disability services.
- Allied health or healthcare administration.
- Xero or payroll administration.
- Employee onboarding and compliance.
- Staff training and documentation management.
- Experience working with cloud-based business systems.

Location: Western Sydney / Hybrid / Work From Home

Hours: 24

Hourly rate: $32- $38 + superannuation
