Arche Health is seeking an experienced Administration & Triage Officer to work in our Aboriginal Health Team located in Bentley.

The Administration & Triage Officer assists and supports Arche Health’s Aboriginal Health Team (AHT) to help improve health outcomes for Aboriginal and Torres Strait Islander peoples living with chronic health conditions through improved access to coordinated and multidisciplinary care. This position requires high-quality administration support that is culturally appropriate whilst working collaboratively with members of a multidisciplinary team, General Practitioners, specialists, hospitals, and other internal and external health-related stakeholders to ensure Arche Health’s Aboriginal health services are conducted in an efficient, professional manner and delivered in line with funding guidelines.

The role of the Administration & Triage Officer is to carry out tasks such as answering incoming telephone calls, determine purpose of callers and forward calls to appropriate personnel, take and deliver messages, provide administrative support as directed, log and record transport calls, update and maintain the various databases, communicate with various GP referring practices to support and process client referrals, and assist with Arche Health’s front reception (for breaks only, as required).

PRIMARY DUTIES

- Provide administrative support for the Aboriginal Health team,



and as required at the front reception cover, including:

1. Telephone enquiries - answering phones, routine outgoing calls, taking messages
- Greeting visitors and clients
- Maintaining and coordinating room bookings as required
- Ordering and maintaining stationery and other office supplies for the AHT
- Maintain client database (MMEx) for client referrals and other required documents

- Liaise with clients and external health providers as required
- Working under limited supervision, taking responsibility for a wide range of administrative tasks across the Aboriginal Health programs
- Provide assistance to the Aboriginal Health Manager and Aboriginal Health staff in all administrative matters, including trouble-shooting tasks as necessary
- Oversee the cleaning and maintenance of the AHT fleet vehicles
- Contribute as an effective team member within the Arche Health team, and
- Other duties as required

Receptionist Duties Provide front desk receptionist cover for Arche Health Head Office when required, which will encompass the following:

- Answering phones, taking messages, including diverted calls from the Maddington Specialist Centre and Belvidere Health Centre as required
- Greeting clients and other stakeholders
- Processing Eftpos, credit card and Medicare transactions for Infocus Counselling services
- Ensure reception area is tidy and presentable when covering

Service Promotion

- Develop and maintain strong working relationships with partner agencies,



services and programs for clients by promoting referral pathways for Aboriginal health programs
- Promote the Arche Health’s Aboriginal Health programs by communicating regularly with, and building collaborative working relationships with health-related services and the general community

Administrative Duties

- Maintain accurate and timely case notes and records in the Aboriginal Health Team’s client database systems (MMEx and other systems)
- Collect and enter data required from referral sources for clients referred to Aboriginal Health programs
- Provide bi-annual (6 monthly) reports on program statistics required by the Aboriginal Health Manager to enable targets to be monitored and reported on, and
- Organise acknowledgement of referrals to clients and referring services in a timely and accurate manner

ESSENTIAL SELECTION CRITERIA

- Proven experience working in an admin position
- Demonstrated high proficiency in using data bases, including Microsoft programs
- Demonstrated experience working with Aboriginal people
- Ability to work well as a team member and independently
- Provide reception services in a friendly, productive and professional manner
- Ability to complete routine tasks within a specified timeframe
- Highly developed written and verbal communication skills adaptive to all levels
- Flexibility & willingness to adapt to changing work priorities
- Highly desirable – previous experience working in the health field
