Role Description This is a full-time, on-site Administrator / Coordinator role based in Mascot, NSW. The Administrator / Coordinator will provide day-to-day administrative support to operational teams, including managing correspondence, preparing documents and reports, maintaining records, and updating databases and systems.
The role will coordinate schedules, bookings, and meetings, assist with job allocation and workflow tracking, and support service and project teams with documentation, purchase orders, and invoicing.
The Administrator / Coordinator will liaise with internal stakeholders and customers to respond to enquiries, follow up information, and ensure timely completion of administrative tasks. This position also supports continuous improvement of office processes and contributes to a safe, organised, and compliant work environment.
Qualifications
- Strong administrative and coordination skills, including document preparation, data entry, records management, and scheduling.
- Proficiency with office software and business systems (e.g., MS Office, databases, ERP or service management platforms).
- Excellent communication and interpersonal skills to work effectively with internal teams, technicians, and customers.
- Solid organisational and time-management abilities, with attention to detail and accuracy in high-volume environments.
- Problem-solving skills and the ability to prioritise tasks, meet deadlines, and adapt to changing operational needs.
- Previous experience in administration or coordination within technical, service, construction, or similar industries is highly regarded.
- Understanding of basic financial processes such as purchase orders, invoicing, and job costing is beneficial.
- Commitment to safety, compliance, and confidentiality, with a skilled and customer-focused approach.
- Relevant vocational qualifications or a certificate in business administration or a related field are an advantage.
