About us
Partners in Psychology is a dedicated team of 10 mental health professionals committed to delivering compassionate, evidence-based psychological services to our community. We believe in creating a supportive setting where clients receive quality care and our team thrives.
Our practitioners utilise supportive technology for the notes and we have excellent diary management/billing software set up. The directors want this to be an efficient and user friendly workplace where the focus is on the client and not unnecessary processes. We are looking for someone to join the team while our current Administrator goes on maternity leave, with the option to continue ongoing.
About the role
We are seeking an experienced Administrator to join our team at Partners in Psychology in Osborne Park, WA. This is a full-time position that plays a vital part in keeping our practice running smoothly. We are happy to consider a part time or flexible role for the right candidate.

As Administrator, you will be the backbone of our office operations, ensuring that our clinical team can focus on providing exceptional care to our clients. You will manage day-to-day administrative functions, coordinate schedules, manage client communications, and maintain our office systems and records.
Key responsibilities
- Managing appointment scheduling and maintaining accurate client calendars for all practitioners
- Receiving and welcoming clients in a warm, professional manner and managing front desk operations
- Processing client inquiries via phone, email and in person, providing information about services and facilitating bookings
- Maintaining confidential client records and ensuring compliance with privacy legislation and practice protocols
- Processing invoices, managing accounts receivable and performing general bookkeeping tasks
- Ordering and managing office supplies, equipment and inventory
- Coordinating with insurance companies regarding claims and client benefits verification
- Preparing administrative documentation, correspondence and reports as required
- Providing general administrative support to clinical and management staff
- Maintaining a clean, organised and professional office environment
What we're looking for
- Strong organisational skills with the ability to manage multiple tasks and priorities effectively
- Proficiency in computer systems and office software, including scheduling systems, email and Microsoft Office applications
- Excellent communication skills, both written and verbal, with a professional and courteous manner
- High level of confidentiality and discretion when handling sensitive client information
- Attention to detail and accuracy in record-keeping and data entry
- Customer service focus with a genuine interest in supporting clients and staff
- Experience in a psychology practice or mental health service is highly desirable
- Knowledge of Medicare billing and health fund claims processes would be advantageous
- A sense of humour and engagement within our small team
- Knowledge or experience using ZANDA (power diary) software would be advantageous (yet not essential).
