The Position
We are seeking an experienced capital works project officer to support the delivery of the Aquarium Project. As Assistant Director – Business Administration, you’ll help the project team make informed decisions and maintain sound financial and governance controls throughout the project.
Working within the Aquarium Capital Works team, you’ll provide business, financial, asset management and administrative support across the project lifecycle. You’ll work with the Project Director, the Aquarium Operations team and other stakeholders to help prepare project assets for operational management.
The role will see you provide leadership in business administration practices, provide advice, and promote continuous improvement in project management and governance processes, and contribute to the effective coordination and delivery of a major capital works investment on behalf of the Reef Authority.
What you'll do
Planning and Administration: Support the Aquarium Capital Works team in the planning, coordination, and administration of the Aquarium Project, ensuring business activities, finance related governance requirements, and administrative functions are effectively managed and aligned with project objectives, budgets, and delivery timeframes.
Financial Management and Cost Control: Coordinate project financial management activities, including budget development and monitoring, cost tracking, commitment management, forecasting, financial reporting, invoice processing, and expenditure analysis to support effective project decision-making and financial accountability.
Asset Management: Support the development and implementation of asset management processes associated with the Aquarium Project, including asset registers, asset data management, lifecycle planning considerations, commissioning and handover documentation. Monitor project risks, issues, and dependencies, support mitigation activities, and prepare high-quality reports, analyses, and recommendations to support informed decision-making by project and executive stakeholders.
Risk Management: Assist in identifying and monitoring finance-related project risks and issues, supporting mitigation actions, and preparing high-quality reports and briefs.
Business Operations: Assist with asset and financial activities within the broader Business Operations team.
What you'll bring
- Experience in business administration, project governance and financial management, including budgets, cost tracking, reporting and procurement administration.
- Strong organisation, attention to detail and judgement when managing competing priorities and maintaining accurate records.
- Analytical and systems skills, including advanced Microsoft Office skills, particularly Excel,
and experience with financial, asset, document and project management systems.
- Experience supporting asset management activities, from maintaining asset data and registers to planning handover into operational management.
- An understanding of public sector governance, compliance and accountability, with a collaborative and adaptable approach.

Essential Requirements
- A qualification in project management, construction management, engineering, architecture, or a related discipline.
- To be eligible for employment, candidates must be an Australian citizen at the time of application.
- The position requires a Baseline security clearance. Successful candidates will be required to obtain and maintain a clearance at this level.
- The successful candidate will be willing to provide identity documents and undergo an identity pre-employment check through a Document Verification Service.
Desirable qualifications or equivalent experience
- A tertiary qualification in Accounting or Finance.
- Experience with the development of Asset Management systems.
- Experience with Technology One finance and asset systems.
- Experience with Commonwealth Government accounting systems.
