About the Role
We are an environmental and cultural heritage consultancy seeking a reliable, tech-savvy Online Administrative Assistant to support our operations on a flexible, casual basis.
This is not a full time or fixed-hour position. We expect an average of ~5 hours of work per week, delivered in short, ad-hoc tasks. There is a possibility for the position to grow.
Availability & Expectations
- General Availability: Reachable via email/monday.com during standard AEST business hours (within reason).
- Turnaround Time: Prompt, same-day delivery on short tasks assigned during the morning (rather than 24–48 hour delays), keeping your total weekly commitment around 5 hours.
Key Responsibilities
- Project & Task Admin: Updating project status boards, task deadlines, and tracking client deliverables in monday.com.
- Basic Bookkeeping & Data Entry: Entering invoices, cross-checking receipts, and reconciling basic entries in Xero.
- Document & File Management: Organising project photos, spatial exports, report drafts,
and client files within OneDrive and/or Google Drive.
- Ad-hoc Admin Support: Assisting with report formatting, basic web research, or scheduling as required.
Required Skills & Software Experience
- Xero: Practical experience with invoice and data entry.
- monday.com: Familiarity with updating boards, status columns, and task views.
- Microsoft OneDrive / Google Drive: Proficiency in file structures, sharing, and cloud document storage.
- Communication: Clear, responsive communication via email and monday.com notifications during standard business hours.
- Attention to Detail: Ability to handle client data and project files accurately without constant supervision.
Desirable Experience
- Prior administrative experience in consulting, professional services, archaeology, or environmental management.
