weeks per year.

Key Relationships
This position reports to the Director of Timetable, Planning and
Operations and liaises with leadership and teaching staff as required.
Position Objective The Daily Operations and Relief Coordinator manages teacher absences and relief coverage across the School,
ensuring continuity of learning, staff wellbeing, and operational reliability. This role is the first point of contact for unplanned absences and oversees the engagement and deployment of Temporary Relief Teachers (TRTs).
Key Responsibilities of the Daily Organisation and Relief Coordinator role:
1. Management of reliefs to ensure that all classes have teachers
- Act as the first point of contact for teachers notifying unplanned absences.
- Monitor all planned teacher absences from timetabled classes that are approved by Heads of
School including camps, excursions, professional learning and employee leave.
- Organise the engagement of suitably qualified Temporary Relief Teachers as required.
- Issue relief allocations to Westminster teachers in line with School policy and the School’s
Enterprise Agreement.
- Prepare and circulate plans and schedules to ensure appropriate teaching coverage for all
classes for each school day.
- Provide support to all TRT staff upon commencement and while on site, as required.
- Oversee onboarding and organisation of relief teachers, including:
o suitability assessment before and after appointment o onboarding and induction of recent relief teachers o daily briefing of relief teachers o relief teacher support and issue management o Provide coverage personally in emergency circumstances, if appropriate.
1. Other Daily Operations responsibilities
- Support the smooth running of the school day through effective scheduling and problem-
solving.
- Maintain an up-to-date register of high quality and available TRT staff, ensuring appropriate
qualifications and clearances are provided prior to employment.
- Submit accurate records of planned and unplanned teacher absences and TRT engagements
to payroll.
- Manage relief allocation to balance cost minimisation and quality of coverage for student
lesson allocation, e.g. ensuring that TRTs are fully utilised if engaged.
- Ensure comprehensive records of teacher relief quotas are maintained.
- Organise coverage for Learning Support Assistants across both the Preparatory and Senior
Schools as required
- Monitor relief frequency and patterns, advising Heads of School of potential student
experience, educational, financial and other risks.
- Prepare and circulate special daily timetables as required by Heads of School in liaising with
the Director of Timetable, Planning and Operations.
- Manage or assist the Director of Timetable, Planning and Operations or other Senior
Leadership with other tasks as required.
- Work will be required to be completed out of traditional school hours. Reasonable additional
hours may be required. Key Selection Criteria: Qualifications, Skills and Experience:
- Current teacher registration (if applicable)
- Experience working in a similar or related role and/or familiarity with school administration
systems.
- A high level of organisational and administrative skills
- Broad understanding of all learning areas, and ability to suggest relief teaching activities in
most subject areas if required.
- Proficient in the use of Microsoft Word, Excel and PowerPoint, with attention to detail in
presentation.
- Be able to prioritise, critically analyse data and prepare reports.
- Have experience in the use of the Timetabler suite of software (or equivalent), in particular
the Daily Organiser module (desirable).
- Have experience using information management systems such as Synergetic (desirable).

Deputies, Curriculum Leaders and Director of People and Culture as required to fulfil responsibilities.

- Effective interpersonal skills and the ability to consult and negotiate when there are competing
demands or conflicts

Conditions of Employment:
- Early mornings and evening availability required.
- All applicants must be eligible to work in Australia.
- Teachers must have (or be eligible to obtain) current registration with Teachers Registration
Board of South Australia.
- All staff must satisfy child protection screening and adhere to Westminster’s Child Protection
policy.
- All teaching staff must have completed current Provide First Aid training
- A 6-month probationary period applies to all teaching positions and positions of responsibility.
