Are you an experienced Executive Assistant who thrives in a busy executive environment and enjoys being one step ahead?
Ashe Munro Recruitment is partnering with a leading organisation within the higher education sector to recruit an experienced Executive Assistant for an initial six-month temporary engagement.
You will provide high-level support to a senior executive with a broad and complex portfolio. Working closely with the Executive Officer, you will play an important role in keeping a busy executive office running smoothly, managing competing priorities and building strong relationships across the organisation.
A key focus of the role will be complex diary management, so you will need to be confident navigating a busy schedule and balancing competing priorities.
Key Responsibilities:
- Manage a complex and high-volume executive diary, balancing competing priorities and anticipating potential issues
- Coordinate meetings, workshops, travel and catering
- Ensure briefing papers, research and meeting materials are prepared ahead of meetings
- Manage expenses and follow up actions to ensure commitments are progressed
- Liaise with senior internal and external stakeholders with professionalism and discretion
- Respond to enquiries and prepare correspondence
- Work closely with HR and other internal teams across a range of matters
- Contribute to the smooth and productive operation of the executive office
We’re looking for:
- Proven experience as an Executive Assistant or in a senior administrative support role
- Strong experience managing complex, high-volume diaries and competing priorities
- Highly developed organisational skills and exceptional attention to detail
- Excellent written and verbal communication skills
- Confidence engaging and building trusted relationships with senior stakeholders
- The ability to anticipate what is needed and take a proactive approach
- Sound judgement and the ability to handle sensitive and confidential information
- Strong Microsoft Office and general systems capability
- Experience within higher education or another large, complex organisation will be highly regarded
The Opportunity:
- Competitive hourly rate + superannuation
- Initial six-month temporary engagement
- Flexibility to work from home one day per week once established
- Standard hours of 8.00am–4.00pm or 9.00am–5.00pm
