About this role
A full-time opportunity exists to join our national team and based in either Taringa, QLD or Surry Hills, NSW.
Reporting to the National Quality, Risk & Compliance Manager, this role supports national corporate services from an administrative perspective and particularly across the HR, Quality & Compliance and Operations functions.
Our commitment to quality and safety is our highest priority. As a Category B healthcare worker, vaccinations for influenza and COVID-19 are strongly recommended.
Responsibilities include:
HR
Systems support with on-boarding and off-boarding activities including setting up new starters and off-boarding leavers in both HRIS, and time and attendance systems
Assist team members with general HRIS and time and attendance systems queries
Maintain HRIS and ensure employee information is accurate and up to date
Administrative recruitment support including posting job advertisements
Preparation of HR-related feedback surveys
Support coordination of formal reward and recognition activities, including procurement of associated rewards
Assist with HR projects and initiatives as required
OPERATIONS
Provide ad hoc administrative support to national leaders where required
QUALITY & COMPLIANCE
Coordinate staff licence management, access levels and notifications for RiskClear
Coordinate document control processes for Adora policies, procedures and documents
Coordinate meeting preparations for Adora Clinical Governance Committees
Assist National Quality, Risk & Compliance Manager and DSU Nurse Unit Managers in coordinating IVF and DSU Doctor/Nurse/Psychologist credentialing processes
Assist National Quality, Risk & Compliance Manager with Work, Health and Safety requirements, including administrative support with audit reports and uploading in RiskClear
Assist National Quality, Risk & Compliance Manager and any other relevant manager in coordinating external audit preparations (such as RTAC and NSQHS)
Assist National Quality, Risk & Compliance Manager and any other relevant IVF management with administrative Regulator requirements (Victorian ART Regulator, LARU/RTC, NSW Central Register, QLD ART Regulator) as requested
Assist National Quality, Risk & Compliance Manager and any other relevant DSU management with administrative Day Surgery Department of Health Requirements Inspections (NSW, VIC, WA) as requested
Other administrative duties within the scope of quality management & compliance as reasonably requested by the NQRCM
PATIENT EXPERIENCE
Preparation of weekly/monthly feedback for IVF and DSUs as requested
Collecting, analysing and reporting on patient feedback and trends
Investigating targeted quality improvements
Developing templates and standardised responses to patient feedback
The successful applicant will have the following skills, knowledge and experience:
3+ years' administrative experience, within corporate services or fertility desirable
Highly organised with strong attention to detail
Strong computer and problem-solving skills
Demonstrated ability to develop positive relationships with internal and external stakeholders
A positive, pro-active and professional attitude
Versatile and adaptable to change
Excellent verbal and written communication skills
Ability to multi-task and prioritise
Training will be provided to the successful candidate.
