VMA Finance and Systems Manager — Position Description
Organisation: Venue Management Association Asia-Pacific (VMA)
Position Title: Finance and Systems Manager
Hours: Permanent Part-Time. 30.6 hours per week (0.8 FTE), spread across 5 days
Salary: $120,000 per annum plus superannuation (pro-rata)
Work Arrangement: 2 days per week in the VMA office (Tuesday–Wednesday), with remaining days worked flexibly
Reports To: CEO
About the Venue Management Association (VMA)
The VMA is the peak body for venue professionals across Australia, Recent Zealand and the broader Asia-Pacific region. We deliver industry-leading education, professional development, accreditation, events and advocacy for the venue, live entertainment, sport, performing arts, exhibitions and conference sectors.
Our membership includes over 300 venues across 16 countries, and includes a diversity of venues across stadiums, arenas, performing arts centres, convention centres, showgrounds, racetracks and much more. Suppliers to the venue industry also make up a significant part of our membership base.
We are entering a period of strategic growth, with new opportunities emerging in international markets (including MENA), digital transformation of our education portfolio, and expansion of our member value proposition across the APAC region.
Position Summary The Finance and Systems Manager owns the end-to-end finance function for the VMA, including management reporting, contract management, and the systems that keep the organisation running smoothly. This is a hands-on role for someone who enjoys wearing multiple hats in a small not-for-profit team — part finance lead, part systems owner, part office manager. You'll work closely with the CEO and be trusted with real responsibility from day one.
We're looking for someone who sees automation and agentic AI as tools for doing more with less — someone curious about how technology can streamline finance and admin processes, not just someone who tolerates change. Key Responsibilities
Finance
- Own the end-to-end finance function, including management reporting to the CEO and Board
- Oversee the external bookkeeping contractor and ensure accurate, timely financial records
- Chase outstanding invoices and membership renewals
- Manage budgeting, cash flow monitoring, and financial compliance obligations
- Maintain appropriate segregation of duties and financial controls
Contracts and Compliance
- Oversee contract management across the business (vendor, supplier, event, and partner agreements)
- Maintain VMA's insurances and ensure ongoing compliance obligations are met
Systems
- Act as systems owner for Xero and the CRM (Glue Up), including administration, troubleshooting, and process improvement
- Identify and champion opportunities for automation and agentic AI to improve efficiency across finance and operations
Office and Operations
- Act as office manager, handling day-to-day admin and keeping the office running smoothly
- Support the CEO and wider team with operational needs as they arise
About You
Essential
- Proven experience carrying financial and operational responsibility in a small not-for-profit or similarly lean team
- Formal accounting qualification, part-qualification (e.g. Diploma or Certificate IV in Accounting, or studying towards CPA Australia/CA ANZ), or equivalent demonstrated experience identifying and querying technical accounting treatment
- Genuine interest in automation and agentic AI as drivers of efficiency and systems improvement
- Strong working knowledge of Xero (or comparable accounting software) and CRM platforms
- Confident managing contracts, insurances, and compliance obligations independently
- Highly organised, self-directed, and comfortable owning outcomes rather than just tasks
Desirable
- A finance-led General Manager background, or similar breadth across finance, systems and operations
- Understanding of the venue and event industries
- Prior experience in a membership-based or peak body association
