About the role
We are seeking a Full Time Medical Receptionist (Administration) to join our healthcare team at our Flemington, location. This is a full time position that plays a vital part in ensuring the smooth operation of our Solo Practitioner medical practice. As the first point of contact for our patients, you will be responsible for managing administrative tasks, welcoming patients, and supporting the Doctor to deliver exceptional healthcare services.
This role is instrumental in creating a positive patient experience and maintaining the efficiency of our practice operations.
What you'll be doing opening and closing the clinic every day.
- Greeting patients and visitors in a professional and courteous manner upon arrival at the practice
- Managing patient appointments, scheduling, rescheduling and cancellations using practice management software
- Maintaining accurate and up-to-date patient records and medical files in compliance with privacy legislation
- Processing patient registration forms and collecting relevant personal and insurance information
- Handling telephone enquiries and directing calls to the doctor.
- Processing payments, invoicing and managing patient accounts
- Organising referrals, pathology requests and coordinating patient care .
- Maintaining reception areas, ensuring they are clean, welcoming and stocked with necessary materials
- general administrative duties including filing, copying, scanning and data entry
- Supporting the doctor with administrative tasks as required
- Ensuring compliance with practice policies, procedures and health and safety regulations
What we're looking for
- Previous experience in a medical reception or medical administration role is desirable but not necessary as we are happy to provide full training.
- Friendly, caring , warm and easy to deal with personality.
- The ability to speak other languages is an advantage .
- Dedicated , hardworking and willing to learn.
- Knowledge of practice management software systems and electronic health records
- Proficiency in Microsoft Office applications including Word, Excel and Outlook
- Strong organisational and time management skills with the ability to prioritise multiple tasks
- Excellent communication and interpersonal skills with a professional telephone manner
- Customer service excellence and a patient-focused approach to your work
- Ability to maintain confidentiality and handle sensitive patient information professionally
- Strong attention to detail and accuracy, particularly with patient records and data entry
- Flexibility and adaptability in a busy healthcare environment
- the ability to work independently .
- A current Working With Children Check (WWCC) or willingness to obtain one
- Current First Aid and CPR certification is preferred
