Aspen APAC is undergoing an exciting period of transformation as we evolve our operating model, systems, processes and ways of working. We are seeking an experienced IT PMO Coordinator to support a major technology transition program, coordinating governance, planning, reporting and delivery activities across multiple concurrent technology workstreams. This is a 2-year fixed term contract, working on-site in Dandenong South.
This is a hands-on PMO role suited to someone who enjoys bringing structure to complex programs, keeping teams accountable and making sure actions, risks, dependencies and key information are actively managed.
About the role
Working across a number of technology initiatives, you will own the PMO disciplines that keep the program operating effectively. You will work closely with project and program leaders, coordinating inputs, maintaining program information and ensuring governance activities are completed to a high standard.
This role will suit someone who is naturally organised and proactive, with the confidence to follow up with stakeholders, challenge gaps or inconsistencies and keep things moving.
Key responsibilities
- Maintain integrated program plans, RAID logs, action registers and reporting.
- Coordinate the program governance cadence and ongoing operating rhythm.
- Consolidate and quality-check inputs across multiple technology workstreams.
- Identify gaps, inconsistencies, risks,
dependencies and emerging issues.
- Drive action follow-up and ensure agreed actions are progressed and closed.
- Prepare and maintain high-quality program reporting and governance materials.
- Coordinate meetings, agendas, actions and follow-ups across the program.
- Support project and program leaders with planning, reporting and governance activities.
- Maintain accurate and up-to-date program information across multiple concurrent initiatives.
- Help ensure consistent PMO processes and disciplines are applied across the technology program.
About you You will bring robust PMO or technology program coordination experience and be comfortable working across multiple projects and stakeholders at the same time.
We are looking for someone who is:
- Experienced in technology PMO, program coordination or project coordination.
- Strong in integrated planning, governance, RAID management and reporting.
- Highly organised, structured and detail-oriented.
- Proactive and comfortable taking ownership rather than waiting to be asked.
- Confident coordinating inputs and following up with stakeholders at all levels.
- Able to identify gaps, inconsistencies and risks rather than simply consolidate information.
- Comfortable working across multiple concurrent technology initiatives.
- A strong communicator who can build effective working relationships across project teams.
- Comfortable working in a rapid-paced transition environment where priorities can evolve.
Most importantly, you will be someone who drives PMO discipline - keeping plans current, chasing inputs, following through on actions and making sure the program has accurate information to support effective decision-making.
