Receptionist / Legal Secretary – Specialist Law Firm
Bundall, Gold Coast | $70,000 – $80,000 | Full time An opportunity is available to join an established specialist litigation law firm in its Gold Coast office in Bundall.
The firm has offices on the Gold Coast and in Brisbane and a team of approximately 40 staff, with a strong reputation in commercial litigation and dispute resolution.
This is an excellent opportunity for someone looking to start or build a career in the legal or professional services industry.
Previous legal or reception experience is not required.
More important is finding someone who is professional, switched-on, organised and genuinely interested in learning. You will have the opportunity to learn from experienced lawyers and support staff, develop professional administrative and secretarial skills, and gain exposure to the day-to-day operations of a specialist law firm.
The Opportunity
This is a varied position combining reception, administration and legal secretarial support.
You will be the first point of contact for many of the firm's clients and visitors while also providing administrative support to the firm's Partners and broader legal team.
The role will include
- Managing reception and welcoming clients and visitors;
- Answering and directing incoming telephone calls;
- Managing meeting rooms, client arrivals, couriers and mail;
- Assisting with Partner diaries, appointments and meetings;
- Providing general administrative and secretarial support;
- Preparing, formatting and amending correspondence and documents;
- Assisting with opening and maintaining client and matter files;
- Printing, scanning, filing, document collation and preparation of briefs;
- Liaising with clients, barristers, courts and other professional stakeholders;
- Assisting with billing, expenses and general administration; and
- Supporting the broader team with the smooth day-to-day operation of the office.
As you develop in the position, there will be an opportunity to build your knowledge of legal administration and secretarial work and take on greater responsibility. The underlying position is designed to provide exposure to both front-of-house responsibilities and broader legal support work.
About You
We are not necessarily looking for someone who has worked in a law firm before.
This position could suit someone currently working in retail, hospitality, customer service, administration or another client-facing environment who wants to take the next step into a professional office environment.
It could equally suit a recent school or university graduate looking to establish a long-term career within professional services.
We are looking for someone who:
- Presents professionally and communicates confidently;
- Is friendly, personable and comfortable speaking with clients;
- Has strong written and verbal communication skills;
- Is organised and has good attention to detail;
- Is reliable, punctual and takes pride in their work;
- Is comfortable using Microsoft Office and learning new systems;
- Can manage multiple tasks in a busy environment;
- Understands the importance of confidentiality and discretion;
- Has a proactive attitude and is willing to help wherever required; and
- Most importantly, is keen to learn and develop professionally.
Previous reception, administration or professional services experience would certainly be advantageous, but it is not essential. The firm's formal position description identifies professionalism, communication, organisation, attention to detail, discretion and willingness to learn as core attributes for the position. Why Consider This Opportunity?
This is more than a traditional front-desk reception position.
You will be joining a qualified, established legal practice where you can learn from the ground up and develop skills that can lead to a longer-term career in legal administration and qualified services.
You will benefit from
- $70,000 – $80,000 per annum, depending on experience and capability;
- Working within an established specialist litigation firm;
- Direct exposure to Partners and experienced legal professionals;
- Training and development across reception, administration and legal secretarial work;
- A varied role rather than purely reception duties;
- The opportunity to build qualified services experience; and
- A supportive environment in which to develop your skills and take on greater responsibility.
The position is full-time and office-based in Bundall on the Gold Coast.
