About the Role The Medical Administration Manager provides high level organisational and administrative support to the Director of Medical Services, Greater Wagga Wagga Cluster. Working closely with the Director, this is an integral support role across strategic leadership and operational matters, including sensitive issues, executive communication, meeting and committee support, and delegated projects. This is a temporary part time opportunity for 27 weeks.

Key Accountabilities

- Provide the Director of Medical Services with strategic advice and support on sensitive issues across all medical aspects of the Greater Wagga Wagga Cluster.
- Consult and work closely with the medical administration team, district office, medical workforce unit, cluster sites, clinicians and external stakeholders to formulate, implement, improve and review systems and processes that support an integrated and responsive health service.
- Provide high level communication support, including preparation of correspondence, reports, briefs and other documents.
- Provide direct support for all meetings and committees chaired by the Director of Medical Services.
- Manage delegated projects at the discretion of the Director of Medical Services.




- Liaise with directorates, departments, facilities and external stakeholders such as AHPRA, Specialist Colleges and network facilities for the governance of systems that support best patient flows and outcomes, and for timely collation of information for reporting.
- Maintain and manage training, education and study leave (TESL), other leave and financial entitlements for Greater Wagga Wagga Senior Medical Staff.
- Coordinate recruitment for Senior Medical Staff positions in the Greater Wagga Wagga Cluster.
- Coordinate quality and safety projects within the Director of Medical Services portfolio, collating information from sources within and outside the organisation and preparing high quality, complex reports.
- Coordinate confidential medicolegal communication about Court cases and with lawyers, HCCC and AHPRA on professional practice issues and complex patient complaints.

Essential Criteria

- National Police Check
- Category B Vaccination

Selection Criteria

- High level communication skills, including sound negotiation, interpersonal and liaison skills, as well as a demonstrated ability to problem solve and use judgement and discretion.
- Demonstrated ability to respond,



adapt and cope with changing priorities and demands in a multidisciplinary work workplace.
- Proven high level of organisational skills, including the ability to effectively prioritise workload and meet deadlines.
- Demonstrated capacity to work independently and exercise initiative and judgement, and proven ability to work in a team environment.
- Demonstrated experience in providing administrative and secretarial support at an Executive Level, including a proven capacity to operate effectively in an environment demanding confidentiality and discretion in issues management.
- Proven proficiency in using various PC based software, including an advanced level of proficiency using Microsoft Office Suite (word processing, spreadsheets and graphics) and District operations.
- Proven experience in a private or public sector role at a similar level.
- Evidence of a current Class C drivers licence and ability to travel for work purposes.
