Patient Care & Admissions Coordinator | Centralised Support Team

We’re expanding our centralised support team based in Chatswood and are looking for an empathetic, organised and articulate Patient Care & Admissions Coordinator to join us.

This is a great opportunity for someone who enjoys supporting patients, coordinating care and making a meaningful difference to the patient experience.

The role will initially commence at 10 hours per week, with the opportunity to increase your hours as you settle into the role and develop your experience within the team.

We operate two specialised medical practices: Vasectomy Australia and HeartCheck Australia. We don’t run a traditional, slow-paced family clinic; instead, we provide streamlined, highly sought-after diagnostic and procedural services nationwide.

What the role actually involves: This is an inbound, medical reception role with a dynamic twist. You will spend your day answering incoming calls, replying to emails, and managing patient inquiries.

Because we specialise in highly specific procedures, patients who call us are often nervous, unsure of the process, or looking for clear medical facts. This is where you come in. This isn’t a passive desk job where you just tick boxes. Your role is to be a patient advocate—answering their practical questions with genuine clinical empathy and helping them cut through the misinformation.

Once you have provided them with the right education and put their mind at ease, your goal is to seamlessly guide them to the next step.



That means helping them book an appointment on our clinical calendar or booking them in for a phone consultation with one of our doctors so they can make an informed decision.

Who we are looking for:

- An Educator & Guide: You believe that great patient care means being proactive. You enjoy thoroughly explaining things and helping nervous patients overcome their hesitation so they can access the care they need.

- A Flawless Communicator: You have a warm, qualified, and confident phone manner. You can talk to a bloke inquiring about a vasectomy or a patient worried about their heart health with equal parts respect and authority.

- Tech-Savvy: We use a modern, true-cloud tech stack (including GoHighLevel and Xestro). You need to be highly comfortable navigating digital calendars, SMS workflows, and phone systems.

- Fast-Paced: You thrive in a buzzing, high-volume environment where the days fly by.
