About the role
This is a varied role working closely with the surgeon and patients within a small specialist surgical practice. The role includes managing appointments and patient enquiries, coordinating surgical bookings, liaising with hospitals and other healthcare professionals, correspondence, billing and general practice administration. This is more than a reception role.
You will work closely with the principal surgeon and take responsibility for the day-to-day administration and coordination of the patient journey.
Key responsibilities
- Managing patient enquiries, appointments and the surgeon's consulting diary
- Providing professional and empathetic communication with patients by telephone, email and in person
- Coordinating surgical bookings and theatre lists
- Liaising with hospitals, anaesthetists, referring doctors and other healthcare professionals
- Preparing and managing correspondence, referrals and clinical documentation
- Providing patients with surgical quotations and relevant administrative information
- Medicare and private health insurance billing and receipting
- Maintaining accurate patient records and following up outstanding administrative tasks
- Managing practice email and electronic communications
- Assisting with the smooth running of consulting sessions
- Supporting the surgeon with day-to-day practice administration
- Contributing to improving administrative systems and processes within the practice
About you
- Previous medical secretarial or medical administration experience
- Experience working with a surgeon or within a specialist surgical practice
- Excellent computer skills and confidence learning and working across multiple software platforms
- Experience with practice-management or electronic medical-record software; experience with Gentu would be advantageous but is not essential
- A sound understanding of Medicare, private health insurance and medical billing
- Excellent written and verbal communication skills
- Exceptional attention to detail and follow-through
- Solid organisational skills and the ability to prioritise independently
- A professional, calm and warm manner with patients
- Initiative and the ability to identify what needs to be done rather than waiting for direction
- Reliability, consistency and a strong work ethic
