We are a small financial advice practice providing ongoing advice and support to our clients. Working directly alongside the Director/Financial Adviser, the Office Manager / Personal Assistant is responsible for the day-to-day running of the office and providing administrative support across all areas of the business.

This is a varied, hands-on role covering client communication, diary management, administration, compliance support and liaising with external providers. As part of a small team, the role requires someone who is organised, approachable and comfortable managing a wide range of tasks independently.

Previous experience in financial advice is not essential, as training will be provided.

Key Responsibilities

· Manage the day-to-day running and administration of the office.

· Act as the main point of contact for clients, managing phone calls, emails and general enquiries.

· Manage the Director’s calendar, appointments and client meetings.

· Provide day-to-day administrative and PA support to the Director.

· Prepare, file and maintain client correspondence, forms and other documentation, including incoming and outgoing mail.

· Follow up clients for information, documents and signatures.

· Maintain client databases, spreadsheets, compliance records and business registers in line with policies, procedures and relevant legislation.

· Liaise with fund managers, insurance companies and other providers regarding client matters.





· Obtain insurance amendment quotes and assist with processing client transactions as directed by the Director/Financial Adviser.

· Track outstanding client requests and transactions and follow up with providers as needed.

· Assist with compliance administration and ongoing client service requirements.

· Maintain office procedures, templates and other business documentation.

· Liaise with external suppliers and service providers, including IT support.

· Maintain general business records, including tracking paid invoices and organising bills for payment.

· Handle confidential client documents and sensitive matters with discretion.

· Assist with any other general administration required to keep the office running smoothly.

· Confident using Microsoft Office, including Outlook, Word and Excel, with the ability to learn other systems.

· Comfortable working in a small office and taking on a broad range of responsibilities.

Pay: $72,000.00 per year
