About the role

This role will suit someone with significant experience (5+ years) in office administration, with supporting experience in book-keeping, human resources management and information technology management. Strong interpersonal skills with a high level of attention to detail are also essential.

Key responsibilities

- Lead development and improvement of Assetivity's internal administrative systems and procedures, monitor compliance with those procedures, and work with the Managing Director and other Assetivity managers to ensure ongoing compliance
- Manage Finance and Accounting activities including Accounts Receivable, Accounts Payable, Cashflow Management and coordination with Assetivity's accountant
- Manage Payroll including staff leave and entitlements, processing staff salaries, expense claims and allowances, and ensuring compliance with PAYG withholding and payroll tax obligations
- Develop and lead recruitment processes and pipelines, manage secure administration and storage of confidential employee records and personnel data, and design and manage structured onboarding processes




- Coordinate and perform quality assurance on staff performance appraisals, coordinate staff training programs, and organize staff team days, corporate events, and internal culture-building initiatives
- Establish and manage contracts with external IT providers and suppliers, coordinate with Assetivity's IT service provider and software providers to resolve issues, and coordinate procurement and replacement of IT hardware
- Manage the maintenance of office equipment and facilities and coordinate with office landlord(s) as required
- Lead periodic review and development of Assetivity's Workplace Health, Safety and Environment Policy, Plan and procedures, and lead periodic WHS/HSE compliance audits
- Manage Assetivity's insurances in association with Assetivity's Insurance Broker and ensure all corporate activities comply with relevant legislation and statutory regulations
- Process and issue quotes and invoices for Assetivity's public training courses, coordinate with training venues and trainees, print and despatch course manuals and certificates, and arrange online knowledge tests

About you

- Sound knowledge and broad-based experience in bookkeeping, including Accounts Payable, Accounts Receivable and Payroll




- Experience in using computerised Accounting systems – ideally using Xero
- Experience in using CRM and Project Management systems – ideally Zoho CRM, Zoho Projects and Zoho Expense
- Competent in performing all required accounting activities, including entering transactions, performing reconciliations, generating reports, generating invoices, processing payroll
- Highly IT-literate, able to communicate effectively with external IT providers and able to contribute effectively to the development of IT strategy
- A high level of attention to detail
- A high degree of self-motivation, and the capability to take the initiative and work independently when required
- Able to establish and maintain healthy working relationships with a wide variety of people
- Strong written and verbal communications skills and robust level of influence and negotiation skills
- Highly proficient in the use of Microsoft Excel, Word, SharePoint and other MS programs
