About the role
Ruby Institute is seeking an experienced and organised Office Manager to oversee the Institute's day-to-day administrative operations and coordinate office systems, staff and resources.
Key responsibilities
- Oversee the day-to-day administrative operations of the Institute and ensure office activities are carried out efficiently.
- Develop, review and improve internal administrative procedures, office systems and workflow processes.
- Coordinate administrative staff workloads, allocate tasks and monitor completion and performance standards.
- Manage office records, correspondence, filing systems and administrative documentation.
- Coordinate office facilities, equipment, supplies, maintenance services and external contractors.
- Liaise with management, staff, trainers, students, suppliers and skilled service providers regarding operational and administrative matters.
- Coordinate routine office expenditure, purchasing, invoices and administrative accounts records.
- Support recruitment, onboarding, training,
leave administration and other administrative aspects of staff management.
- Monitor administrative compliance with organisational policies, workplace health and safety requirements and relevant education-sector procedures.
- Prepare operational and administrative reports and recommend improvements to office efficiency and service delivery.
About you
- Relevant qualification in Business Administration, Management or a related field.
- Previous experience in office management, administration management or a similar role.
- Experience supervising administrative staff and coordinating office workflows.
- Strong organisational, communication and time-management skills.
- Experience managing office systems, records, suppliers and administrative processes.
