We're a fast-moving, people-first business on a mission to make health and fitness accessible to everyone, and we're looking for a Payroll Manager to make sure our people are paid accurately and on time, every time. You'll be an integral part of our People, Culture & Safety team, a passionate, energetic crew who champion everything that makes Viva a brilliant place to work. Leading a small and dedicated payroll team, you'll own the end-to-end fortnightly pay cycle for our national, multi-brand and predominantly casual workforce. As our technical payroll expert, you'll apply Modern Awards, the National Employment Standards, superannuation, tax and payroll legislation across multiple industrial instruments, and look after processing, reconciliation, Single Touch Payroll, Payday Super, audits and reporting.

KEY RESPONSIBILITIES

- Leading the end-to-end fortnightly pay run for our national, multi-brand workforce, making sure everyone is paid accurately and on time
- Handling complex calculations and off-cycle pays, including terminations, parental leave, long service leave, workers compensation and incentives
- Delivering superannuation under Payday Super, managing SuperStream and clearing house processing, and lodging Single Touch Payroll (Phase 2) each pay event through to end of financial year finalisation
- Applying PAYG withholding correctly and completing payroll reconciliations and journals with Finance, including payroll tax and workers compensation declarations
- Acting as Viva's technical payroll expert on Modern Awards, the NES and payroll legislation, and implementing Award, tax and super changes accurately by their effective dates
- Running regular payroll audits, maintaining the Payroll Error Log with root cause analysis, and calculating any remediation
- Owning payroll system configuration, health checks and documentation, and being the first point of contact with our system vendors
- Building automation,



data validation and smart use of AI and digital tools into our processes to reduce manual handling and error
- Preparing payroll reporting and insights for People & Culture, Executive and Board, and supporting the payroll integration of acquired businesses
- Coaching and cross-skilling a small, dedicated payroll team, and supporting managers and employees with a professional, friendly payroll service

SKILLS AND EXPERIENCE

Skills & Experience

- Proven experience leading end-to-end, high-volume payroll, including reviewing the work of others
- Strong working knowledge of Modern Awards and the NES in multi-award environments, including penalty rates, junior rates and annualised salary reconciliation
- Sound knowledge of superannuation and Payday Super, STP Phase 2, PAYG withholding, termination payments, and multi-state long service leave, workers compensation and payroll tax
- Experience calculating and remediating underpayments, with a clear understanding of the legal obligations involved
- Experience auditing payroll and time and attendance systems, with advanced Excel and data analysis skills
- Experience with a payroll system implementation or migration, including testing and parallel runs
- Outstanding attention to detail, a strong compliance focus and a highly structured, process-driven approach
- Exceptional communication skills and a genuine focus on delivering a positive experience for employees and managers
- Integrity, discretion with confidential information and a commitment to living Viva's values
- Highly regarded: experience with ReadyTech, multi-site and predominantly casual workforces, and the Fitness Industry, Clerks - Private Sector or General Retail Industry Awards

Education & Qualifications

- Tertiary qualifications in accounting, business, HR or a related field, or equivalent experience (desirable)
- A formal payroll qualification or certification, such as through the Australian Payroll Association (desirable)
