Shaping the future of real estate for a better world

At JLL, we see a Brighter Wayforward for our clients, our people, our planet, and our communities. With over 200 years of real estate experience, we are, and always have been, in continual pursuit of brighter ways of working.

We bring to life a Brighter Way in all that we do by seeking better, smarter, more innovative ways of working. We approach our work in a warmer, more optimistic, and inclusive way.

JLL is a global leader in helping clients envision where people will live, work, play, shop, and eat.

What this opportunity involves:

As a Facilities Coordinator at JLL, you’ll play a vital role in supporting the seamless operation of a diverse portfolio of owned and leased properties. This position sits at the intersection of administration, client service, and operational delivery, where you’ll help coordinate facilities management activities and ensure that day-to-day operations run smoothly with minimal disruption.

This is a fantastic prospect for someone with strong administration and customer service skills who wants to build a career in facilities management within a dynamic government environment.

At JLL, we believe the most effective teams are built when everyone is empowered to thrive, and in this role, you’ll have the opportunity to build strong working relationships across multiple stakeholder groups while developing your expertise in facilities management systems and processes. Your attention to detail and proactive approach will be essential as you support the delivery of FM-specific tasks, manage property data within our Corrigo system, and help ensure that our assets and compliance documentation align with preventative maintenance and asset management plans.

This is a role where your organisational skills and customer service focus will make a tangible difference every day, supporting both our clients and our internal teams in delivering superior service outcomes.

An overview of the role:

- Coordinate facilities management activities delegated by the centralised team, ensuring that operational requirements are met and site difficulties are resolved promptly with minimal disruption to business-as-usual activities
- You’ll play a key coordination role across a diverse portfolio of government properties — working closely with Facilities Teams, vendors, and government entity representatives to manage escalations regarding contractor performance and client complaints, ensuring works are completed in a timely manner
- Monitor and manage the Corrigo system to understand service delivery, evaluate tasks, track invoicing, and ensure documentation submission while managing risk exposure related to delays from vendors or JLL staff
- Provide administrative support to the broader Account Teams
- Validate compliance tasks and collect compliance documentation in accordance with requirements aligned to "Required Documents" to support the principles of the Property Asset Management Plan
- Ensure compliance with all WHS, Environment and Risk Management policies and procedures, following established escalation and incident reporting procedures to keep everyone safe

Sounds like you? This is what we are looking for:

- Strong administration and communication skills with a demonstrated customer service focus and ability to balance multiple priorities concurrently
- Excellent verbal and written communication skills with the ability to deal with a variety of issues within tight operational deadlines
- Self-motivated, confident, and organised individual who can adapt to rapidly changing situations and work with minimal supervision
- Efficient keyboard and data entry skills with basic working knowledge of Microsoft Word, PowerPoint, Excel, Outlook, and internet research capabilities
- Proactive approach with a keen eye for detail and the ability to grasp new concepts quickly

- Goal-oriented mindset with the ability to focus on meeting performance targets while exhibiting honesty and trustworthiness
- Openness to current ideas with a willingness to challenge the status quo and contribute to continuous improvement
- Knowledge or exposure to building services maintenance and facilities management operations (preferred but not essential)
- Familiarity with Computerised Maintenance Management Systems (CMMS) or similar facilities management platforms (advantageous)
- Ability to obtain and hold an AGSVA Clearance or any additional associated entity clearances
- Great employee discounts off fitness, wellbeing & other renowned brands
- 18 weeks paid maternity leave
- Private Health Insurance Discounts
- Active Social Club
- Employee assistant program
- Novated Lease for EV cars
- Career Opportunities with Australia's #1 Commercial Real Estate firm
- Premium offices
