Your New Company A growing Mechanical Services and HVAC business is seeking an organised and proactive Project Administrator to support the successful delivery of major AI infrastructure and data centre projects. Working closely with Project Managers and site teams, you'll play a key role in keeping projects running smoothly through effective document control, contract administration, reporting and financial coordination.

Your Current Role
As Project Administrator, you'll become the central hub of project coordination, supporting multiple stakeholders across construction and delivery teams. You will be responsible for maintaining project documentation, managing contractual processes, supporting financial administration, and ensuring project information is accurate and up to date.
Key Responsibilities
- Coordinate project start-up meetings and support project mobilisation
- Manage project documentation, correspondence and notices within Procore
- Assist Project Managers with project planning, reporting, budget tracking and deliverables
- Create and administer subcontract agreements and purchase orders
- Process project variations and maintain accurate records within Procore
- Prepare documentation for monthly progress claims and invoicing
- Support accounts receivable activities, including payment follow-up
- Maintain drawing registers and distribute revised documentation
- Assist with quality assurance processes and document control activities
- Work closely with site teams, supervisors and project stakeholders to ensure project requirements are met
- Provide general project administration support across multiple project
What You'll Need to Succeed
- Previous experience in a Project Administrator, Contracts Administrator, Project Coordinator or similar role
- Strong proficiency using Microsoft Office, particularly Excel
- Experience with Procore or similar project management software
- Knowledge of construction industry processes, documentation and workflows
- Strong organisational skills with the ability to manage competing priorities
- Excellent communication skills and confidence working with site and office-based stakeholders
Desirable
- Direct Procore experience managing correspondence, variations, subcontracts and drawing registers
- Experience preparing progress claims and supporting contract administration functions
- Understanding of Security of Payment requirements and standard construction contracts (AS4000, AS2124)
- Exposure to large commercial construction, infrastructure or data centre projects
- Strong document control and QA experience, including revision control and drawing management
- Experience supporting project cost reporting and budget tracking
