We are looking for an organised, proactive and hands-on Operations Coordinator to join Signal Brands Australia.

This is a varied role that sits across our Head Office and retail network, helping keep the day-to-day operation of the business running smoothly. You will work closely with our Head of Retail and Business Operations Manager, as well as teams across the business, stores and external suppliers.

This role would suit someone who enjoys being the person who gets things done, someone who can see what needs to happen, bring the right people together, and follow things through to completion.

What you will be doing

Head Office Operations

Own the day-to-day running of Head Office, including reception, office presentation and staff and visitor experience.

Manage Head Office administration, correspondence, records, supplies and procurement.

Coordinate meetings, events, lunches, functions and promotional activities.

Support new Head Office employee onboarding in partnership with HR.

Maintain the Showroom and meeting rooms.

Travel Management

Coordinate interstate and international travel, including flights, accommodation, transfers and ground transport.

Manage travel bookings, budgets, approvals and expense reconciliation.

Work with travel agents and preferred suppliers.

Prepare clear itineraries and support employees with changes or last-minute travel requirements.

Store & Office Maintenance

Coordinate repairs, maintenance,



cleanliness and facilities across Head Office.

Liaise with suppliers and service providers to resolve issues quickly.

Coordinate store maintenance across the retail network and follow issues through to resolution.

Act as the first point of contact for stores and Head Office when maintenance issues arise.

Retail Operations Support

Coordinate stock transfers between stores and the warehouse.

Manage stationery, cleaning supplies and equipment ordering across the retail network.

Support store-level administrative and customer service queries.

Administer the Retail Incentive Program and support loyalty programs and in-store promotions.

Prepare and analyse sales and performance reporting.

Support retail security measures and assist with inventory discrepancy and theft investigations.

Help roll out new policies, procedures and initiatives across the store network.

Coordinate promotional events and sales campaigns with Marketing.

Stakeholder Management & Continuous Improvement

Act as a key link between Head Office and our retail stores.

Bring the right people together to resolve operational issues and take ownership until they are closed out.

Build strong relationships with store managers, suppliers, and external providers.

Identify opportunities to improve processes and ways of working.

Keep documentation, templates and processes up to date as the business grows.

About you

We’re looking for someone who is:

Experienced in operations, administration or retail support, ideally across multiple locations.





Highly organised and able to manage competing priorities independently.

Proactive and comfortable taking ownership without waiting to be directed.

A strong communicator who can work confidently with people at all levels.

Comfortable coordinating across Head Office and a multi-site retail network.

Customer-focused, professional and solutions-oriented.

Confident with Microsoft Office, particularly Outlook, Word and Excel.

Methodical, accurate and able to stay on top of detail.

Comfortable working autonomously while also being a strong team player.

Confident in resolving issues and bringing matters through to completion.

Experience across Australian and New Zealand operations would be an advantage.
