Job Description
Client Services Specialist – Adventure World n
Sydney, Full-Time
n
You're the person who makes sure nothing falls through the cracks between a travel agent's booking request and a traveller's departure date. At Adventure World, you'll keep our Reservations engine running smoothly – chasing outstanding details, verifying supplier confirmations, and getting final documentation into agents' hands accurately and on time.
WHAT YOU'LL DO n
n
- Process supplier confirmations and booking updates accurately and within agreed service levels
n
- Monitor incoming supplier communications and keep booking files fully up to date
n
- Follow up travel agents by email for outstanding passenger details, travel requirements and registration documentation
n
- Coordinate pre-departure requirements so bookings progress without delays
n
- Verify booking details, supplier costs and documentation against reservation records
n
- Prepare and distribute final travel documentation to Adventure World's service standards and timelines
n
- Fulfil brochure requests and manage brochure inventory for trade partners
n
- Escalate complex booking issues and amendments to the Reservations team where needed
n
- Maintain accurate records of confirmations, documentation dispatch and booking file status
n
WHAT YOU'LL BRING nn
- Experience in administration,
customer service or a coordination-based role
n
- Solid written communication skills – you can build professional relationships through email
n
- Exceptional organisational skills and the ability to juggle multiple priorities and deadlines
n
- A sharp eye for detail and a genuine commitment to accuracy
n
- A proactive approach – you take ownership of tasks and drive them to completion
n
- Experience with booking, CRM or administration systems (preferred)
n
- Sound judgement and problem-solving skills, especially knowing when to escalation
n
- A collaborative mindset and willingness to learn new systems and processes
n
- Travel industry knowledge or personal travel experience is a bonus, not a requirement
n
