About the Role n
We are seeking an attentive and highly organised Junior Contracts Administrator to provide administrative and operational support to the Contract and Commercial team across both pre-contract and post-contract stages. This full time position focuses on learning contract administration fundamentals, supporting documentation control, and assisting senior team members in delivering contractual and commercial outcomes.

The Junior Contracts Administrator works under supervision and guidance from senior commercial personnel and is expected to develop skills, knowledge, and confidence over time.
Key Responsibilities n
n
- Preparation of transaction documents such as Progress Claims, and Variation Requests.
n
- Provide administrative support to Contracts Managers, Project Managers, and Supervisors.
n
- Support senior team members in reviewing contracts, subcontracts, and variations under supervision.
n
- Assist in preparing draft departures, inclusions, exclusions, and assumptions for head contracts and subcontracts.
n
- Help maintain contract registers by accurately inputting contract details and updates.
n
- Assist in managing contract documentation throughout the contract lifecycle (pre-award and post-award).
n
- Assist with coordination between project delivery teams and the commercial team regarding contractual matters.
n
- Develop an understanding of Australian contract legislation applicable in Victoria (training and guidance provided).
n
- Assist in preparing labour rate calculations and commercial spreadsheets under guidance.
n
- Maintain and update registers relating to labour rates and commercial data.
n
- Assist with uploading job, project, financial and contract-related data into project management software (SimPro).
n
- Support the drafting of tender inclusions, exclusions, and assumptions under supervision.
n
- Support the broader company system as required, workload support and other project initiatives to achieve the strategies.
n

- Demonstrated intermediate proficiency in Microsoft Excel, with the capacity and willingness to develop advanced skills.
n
- Sound mathematical and numerical aptitude.
n
- High level of attention to detail and accuracy.
n
- Demonstrated reliability,
punctuality, and effective time management.
n
- Ability to gather, organise, monitor, and maintain information accurately.
n
- Willingness to learn and develop effective problem-solving capabilities.
n
- Well-developed organisational skills, with the ability to prioritise tasks and meet deadlines.

- Clear and effective verbal and written communication skills.

- Team-focused approach with a collaborative and cooperative mindset.

Essential Skills/ Qualifications: nn
- 0–2 years’ experience in an administrative or contracts support role
n
- Basic understanding of contracts or willingness to learn.
n
- Good written and oral communication skills.
n
- IT literate and proficient in Microsoft Office.
n
- Strong attention to detail.
n
- Ability to follow procedures and processes.
n
- Proactive with the ability to work alone or as part of the overall team.
n
Desirable Skills/ Qualifications: nn
- Experience in the Construction Industry.
n
- Exposure to contract documentation.
n
- SimPro knowledge.
n
- Certificate IV or Diploma in Business, Contract Administration, or similar.
n
