Executive Assistant – Housing Operations and Development

We are looking for a full-time Executive Assistant to support the Director Facilities, Assets and Development in Bathurst.
The Executive Assistant will:
Support the Director of Facilities, Assets and Development and other directors as required with daily administrative duties and complete a broad variety of tasks including:
- Credit card reconciliations.
- Assist with preparing internal and external reports.
- Arrange complex and detailed travel plans and itineraries for the Executive Team.
- Coordinate internal and external meetings, drafting agendas, compiling documents for meetings, take minutes and follow up actions.
- Work closely with another Executive Assistant to coordinate strategic activities for the Executive team and the Board of Directors.
- Coordinate documents for signing and filing and develop, maintain and promote document control and file management principles for the Executive team.
- Coordinate conferences and sponsorships.
- Support the Development Team with high level administration including coordinating PCGs and other meetings, preparing and reviewing correspondence, document signing and control.
- Communicate with external stakeholders and partners to provide and pass on information,
coordinate diaries.
- Provide support to the Development Team and the broader tender writing team to ensure all aspects of the tender are progressing, timelines are met, keeping the team accountable for their deliverables, and maintaining document control.
To be successful, you will require:
- Minimum 5 years’ experience working at an Executive Assistant level;
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners;
- Expert level written and verbal communication skills;
- Demonstrated proactive approaches to problem-solving with strong decision-making capability;
- Highly resourceful team-player, with the ability to also be extremely effective independently;
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response;
- Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment;
- Forward looking thinker, who actively seeks opportunities and proposes solutions;
- Capacity to be proactive, assertive, and work well under pressure or within tight time frames.
- You will also need a current drivers license, ability to obtain a Police and WWC Check.
