/n The person who can find that document nobody else can find.
/n The person who remembers the thing everyone else forgot. /n The person who gets asked...
"Do you know how to...?"
"Have you seen...?"
"Can you help me with...?" /n And somehow, most of the time, the answer is yes. /n That's who we're looking for. /n Our client is an established NDIS provider in Sydney looking for an experienced Administration Assistant who understands the NDIS and wants to become a genuinely important part of the organisation. /n This isn't a role where you'll sit quietly in the corner processing paperwork all day. /n You'll work across the business. /n From the CEO to Team Leaders, frontline teams, participants and external stakeholders, you'll be someone people know they can rely on.
/n The Gig Your job is fairly simple to explain. Help keep the organisation running smoothly. /n The reality? /n That can mean 20 different things before lunch. /n One minute you might be helping the CEO prepare information for a meeting.
/n The next you're helping a Team Leader find participant documentation. /n Then the phone rings.
/n Someone needs something emailed.
/n A participant record needs updating.
/n There's an onboarding document missing.
/n And apparently the printer has decided today is the day it no longer wants to participate in society. /n Welcome to admin. /n You'll need to be comfortable jumping between priorities without losing track of what actually needs to get done. /n What You'll Be Doing Your responsibilities may include: /n /n
- Providing day-to-day administrative support across the organisation
/n
- Supporting the CEO and senior leadership team when required
/n
- Assisting Team Leaders and operational staff with administration
/n
- Managing incoming phone calls and emails
/n
- Maintaining participant and organisational records
/n
- Updating NDIS-related documentation and internal systems
/n
- Assisting with participant onboarding and service documentation
/n
- Supporting employee onboarding and compliance records
/n
- Preparing documents, correspondence, reports and spreadsheets
/n
- Scheduling meetings and appointments
/n
- Following up outstanding information and documentation
/n
- Liaising with participants, families and external stakeholders
/n
- Keeping records accurate, organised and up to date
/n
- Helping different parts of the organisation communicate with each other
/n And occasionally.../n
/n
Fixing the thing that technically isn't your job, but everyone knows you'll know how to sort it out.
/n
/n NDIS Knowledge Matters We're not looking for someone who needs the NDIS explained to them on their first morning./n
/n
/n You don't need to know every line of every Practice Standard from memory./n
/n But you should understand the environment./n
/n
/n You should be comfortable with NDIS terminology, participants, providers, service agreements, compliance requirements and the importance of accurate documentation./n
/n
/n You'll understand that this isn't just paperwork./n
/n
/n Behind every file, email and participant record is a real person receiving support./n
/n
/n Getting the administration right matters./n
/n
/n Who We're Looking For We're looking for someone who is:/n
/n /n
- Experienced in administration, preferably within an NDIS or disability services organisation
/n
- Familiar with the NDIS and disability sector
/n
- Highly organised without needing someone constantly checking on them
/n
- Confident using Microsoft Office and business administration systems
/n
- Comfortable learning new software and processes
/n
- A strong communicator on the phone, by email and face-to-face
/n
- Able to manage multiple priorities
/n
- Comfortable dealing with confidential information
/n
- Detail-focused without getting stuck on the tiny things
/n
- Proactive enough to see something needs doing and actually do it
/n But there's another quality that's harder to put on a CV./n
/n
Reliability.
/n
/n When you say you'll do something, people should know it's going to get done./n

/n Your Days Won't All Look the Same If you want to perform exactly the same five tasks every day, this probably isn't your role./n

/n You'll See the Difference Your Work Makes Great disability support needs great people on the frontline./n
/n
/n But those people need someone behind them making sure the systems, documentation, communication and organisation actually work./n
/n
That's where you come in./n
/n What This Isn't Let's save everyone some time./n
/n
/n This isn't a role for someone who responds to every request with:/n
"That's not really my job."
/n
/n Of course there are boundaries and responsibilities./n
/n
/n But we're looking for someone with the attitude of:/n
"Leave it with me. I'll work out who we need to speak to."
/n
/n It isn't a role for someone who needs a detailed instruction every time something unexpected happens./n
/n
/n And it definitely isn't for someone whose filing system consists of 47 documents called FINAL_v2_NEW_FINAL_USE_THIS_ONE.pdf./n
/n
/n We need organised./n
/n
/n The Person We're Hoping to Find Six months after you start, we'd like people around the office to be saying:/n
"Ask them. They'll know."
/n
/n That's the role./n
/n
/n Someone the CEO trusts./n
/n Someone the Team Leaders rely on./n
/n Someone participants and families are comfortable speaking with./n
/n And someone who quietly makes everyone else's job a little easier because they're there./n
/n
