Administration Assistant / Personal Assistant to the Director

Neurodiverse Playhouse is looking for an experienced, highly organised and proactive Administration Assistant / Personal Assistant to the Director to join our growing multidisciplinary team.
This is not a traditional reception role.
You will play an important role in keeping the day-to-day operations of Neurodiverse Playhouse running smoothly. You will be the first point of contact for families, referrers and external providers, while also working closely with our Founder and Clinical Director to manage administration, correspondence, follow-up and day-to-day business tasks.
We are looking for someone who doesn't wait to be told what to do.
You will be someone who can look at what is happening across the organisation, identify what needs attention, take ownership of it and follow it through to completion.
About Neurodiverse Playhouse
Neurodiverse Playhouse is a multidisciplinary allied health and wellbeing organisation supporting neurodivergent children, adolescents and their families.
We provide a welcoming, neuroaffirming, child-led environment and work collaboratively with families, healthcare professionals, schools and other providers.
We are continuing to grow, and we are looking for someone who wants to become an important and trusted part of that growth.
Behind every great clinical team is a strong administration team. This role will help ensure our families receive a excellent experience, our clinicians have what they need and our Director can focus on clinical leadership, staff and growing the organisation.
About the Role
As our Administration Assistant / Personal Assistant to the Director, you will have a varied role combining practice administration, client communication, financial administration and direct support to the Director.
Your responsibilities will include
Client & Practice Administration
- Being the first point of contact for telephone, email and client enquiries
- Welcoming and assisting families
- Managing new client enquiries and intake processes
- Booking and coordinating appointments
- Managing shared inboxes and correspondence
- Following up intake forms, service agreements, financial consent and funding information
- Maintaining accurate and up-to-date client records
- Preparing letters, forms, correspondence and other documentation
- Supporting clinicians with administrative requirements
- Communicating fees, funding and administrative requirements clearly to families
- Liaising with GPs, specialists, schools and other healthcare providers
Billing, Funding & Claims
- Processing invoices, payments and receipts
- Monitoring and following up outstanding accounts
- Managing NDIS invoicing and administration
- Liaising with NDIS plan managers, support coordinators and families
- Assisting with Medicare claiming and referrals
- Assisting with private health insurance claiming and rebates
- Following up rejected, incomplete or unpaid claims and invoices
- Ensuring financial and funding information is accurate and appropriately documented
Director Support
Working closely with the Founder and Clinical Director, you will assist with:
- Managing and prioritising correspondence
- Diary and calendar management
- Meetings, appointments and reminders
- Following up actions and outstanding tasks
- Preparing documents and correspondence
- Coordinating meetings and business activities
- Assisting with projects and organisational priorities
- Helping keep important tasks moving forward
- Identifying issues that require attention and helping resolve them
- Providing general personal assistant support as required
Team & Organisation
You may also assist with:
- Staff onboarding and administration
- Maintaining internal records and documentation
- General practice administration
- Coordinating events and organisational activities
- Supporting the implementation of systems and processes
- Identifying opportunities to improve how we work
A key part of this position is ownership.
If you identify something that needs to be done, we want you to be someone who takes responsibility for seeing it through — not simply putting it in someone else's inbox.
NDIS, Medicare & Private Health Experience
Because of the nature of our services, a good understanding of healthcare and disability funding is important.
You should have experience with, or a strong working understanding of:
- NDIS self-managed and plan-managed participants
- NDIS service agreements
- NDIS invoicing and payment processes
- Working with plan managers and support coordinators
- Medicare allied health claiming and referrals
- Chronic Condition Management arrangements
- Private health insurance claiming and rebates
- Private-pay allied health services
- Financial consent and client billing
- Following up rejected, incomplete or unpaid claims and invoices
Previous experience in allied health, medical, disability or NDIS administration is strongly preferred.
Experience with Cliniko or similar practice management software will be highly regarded.

You don't need to know everything when you walk through the door.

Success in this role means becoming someone the team can genuinely rely on.
Families receive warm, timely and accurate communication.
Clinicians have the information and administrative support they need.
Intake processes are completed properly.
Funding, service agreements, invoices and claims are accurately managed and followed up.
Important tasks don't disappear into an inbox.
Issues are identified early and addressed before they become bigger problems.
And most importantly, the Director is able to focus on clinical leadership, supporting the team and growing Neurodiverse Playhouse, rather than continually being pulled back into day-to-day administration.
