We are seeking a Bid Support Officer to join our Cairns-based team. Reporting to the Bid Coordinator, you will play an integral role in supporting the business throughout the bid management process. This includes bid preparation activities, managing documentation, facilitating effective communication between internal and external stakeholders, and providing general administrative support.

Whilst advantageous, previous bid support experience is not essential. The successful candidate will possess well-rounded administrative skills, a proactive “can-do” approach, and strong coordination skills. This is a full-time, permanent role; however, we are also open to offering flexible school-based hours.

Duties and Responsibilities

- Collaborate with the Estimating Department (and broader project teams) to prepare and coordinate the development of bid documents, ensuring compliance with tender submission criteria requirements.
- Organise and maintain bid-related documentation, including capability statements, project portfolios, HSEQ statistics, and other supporting materials.
- Facilitate effective communication and coordination between various internal departments and external stakeholders involved in the bid process. Liaise with consultants, architects, engineers, subcontractors, and suppliers to gather necessary information and ensure timely submission of bid documents.
- Review bid documents to ensure accuracy, compliance with tender requirements, and alignment with company standards. Conduct quality control checks to enhance the overall quality of bid submissions.
- Assist in the development of compelling and persuasive proposals, incorporating technical information, project methodologies, value propositions, and other relevant content.
- Maintain a comprehensive bid tracking system, monitoring the progress of bid submissions, deadlines, and outcomes. Generate reports and updates for management,



highlighting key metrics, successes, and areas for improvement.
- Provide administrative assistance to the Bid and Estimating team, such as drafting correspondence, organising files, maintaining databases, tracking pending tenders/ updating tender statuses, and assisting with other day-to-day tasks as needed.

About You

- Familiar with Design and Creative Software (Bluebeam/ Adobe program or similar)
- General knowledge of Management Systems ISO 9001 (Quality), ISO 14001 (Environmental) and AS/NZS 4801 (Health & Safety)
- Intermediate to advanced computer literacy including word processing, spreadsheets, presentations, and communications.
- Excellent written and verbal communication skills
- Self-motivated, proactive and results oriented
- Ability to manage multiple tasks, competing priorities and deadlines
- Solid coordination and follow-up skills, both internally and externally
- Previous experience in bid/tenders support, document control or proposal preparation will be highly regarded
