ABOUT VIC BUILDING MANAGEMENT
VIC Building Management manages apartment buildings, strata complexes and commercial properties across Melbourne. We work on behalf of owners corporations, committees and building owners to keep their buildings safe, compliant, well maintained and pleasant places to live and work. Our approach is hands-on and responsive: our building managers are on site, known to residents and accountable for the day-to-day performance of the buildings in their care.
THE OPPORTUNITY
We are seeking an experienced Building Manager to take ownership of a high-quality building in the heart of Docklands. It is a great building in a great location, close to the waterfront, public transport and the CBD, and it deserves a manager who takes pride in running it to a high standard.
You will be the on-site lead for all building operations and the primary point of contact for residents, the owners corporation manager, the committee and contractors. You will run the building with a high degree of autonomy, supported by the wider VIC Building Management team.
KEY RESPONSIBILITIES
Building operations and maintenance
▪ Manage the day-to-day operation of the building, including common property, car parks, amenities and building services.
▪ Conduct regular building inspections, identify defects and risks, and ensure issues are actioned promptly.
▪ Develop and deliver a planned preventative maintenance program across mechanical, electrical, hydraulic, fire, lift, access control, CCTV and other building services.
▪ Coordinate reactive maintenance and repairs, including scoping works, obtaining quotes and overseeing completion to the required standard.
▪ Maintain building records, asset registers, service logs, keys and access credentials.
Compliance, safety and risk
▪ Oversee Essential Safety Measures (ESM) maintenance in line with the Building Regulations 2018 (Vic), and support preparation of the Annual Essential Safety Measures Report.
▪ Ensure the building and contractors operate in accordance with the Occupational Health and Safety Act 2004 (Vic), including contractor inductions, SWMS review, permits to work and incident reporting.
▪ Maintain emergency management procedures, evacuation plans and fire warden arrangements, and coordinate emergency drills.
▪ Monitor compliance with owners corporation rules and support the owners corporation manager in managing breaches, consistent with the Owners Corporations Act 2006 (Vic).
▪ Identify, record and escalate risks and hazards, and maintain the building’s risk and compliance registers.
Contractor and supplier management
▪ Engage, supervise and review the performance of cleaning, security, landscaping, pest control,
waste and specialist maintenance contractors.
▪ Ensure all contractors hold current licences, insurances and inductions before attending site.
▪ Prepare scopes of works, obtain and assess quotes, and make recommendations to the owners corporation manager and committee.
Resident and stakeholder relations
▪ Act as the first point of contact for residents, owners, tenants and agents, responding to enquiries and requests professionally and promptly.
▪ Coordinate move-ins and move-outs, lift bookings, deliveries, amenity bookings and access requests.
▪ Communicate building notices, works schedules and service interruptions clearly and in advance.
▪ Manage complaints and disputes fairly, escalating where appropriate.
▪ Build strong working relationships with the owners corporation manager, committee members, the builder or developer (where defects apply) and local authorities.
Committee support, reporting and administration
▪ Prepare regular building management reports for the committee covering maintenance, compliance, incidents, contractor performance and upcoming works.
▪ Attend committee meetings and the annual general meeting as required, and follow through on actions.
▪ Contribute to budgeting and maintenance planning, including the maintenance plan and capital works forecasts.
▪ Monitor expenditure against approved budgets, raise work orders and verify contractor invoices.
Security, access and after-hours response
▪ Manage the building’s access control, intercom and CCTV systems in line with privacy obligations.
▪ Take part in the Saturday and after-hours roster, responding to emergencies such as floods, lift entrapments, fire alarms, security incidents and critical service failures.
Sustainability and continuous improvement
▪ Monitor energy, water and waste performance and identify opportunities to reduce operating costs and environmental impact.
▪ Recommend improvements to building systems, processes and the resident experience.
ABOUT YOU
Essential
▪ 5+ years’ experience in building management, facilities management or an equivalent role in residential, strata or commercial property, or equivalent demonstrated experience.
▪ Sound working knowledge of building services, planned and reactive maintenance,
and contractor management.
▪ Understanding of Victorian building compliance, including Essential Safety Measures and OHS obligations.
▪ Excellent communication and customer service skills, with the ability to handle difficult conversations calmly and professionally.
▪ Strong organisational skills and the ability to prioritise competing demands with minimal supervision.
▪ Confident with Microsoft Office and building or maintenance management software.
▪ Availability for Saturday work and the after-hours roster described in this position description.
▪ Full, unrestricted right to work in Australia.
▪ Willingness to undergo a National Police Check.
Desirable
▪ Experience managing high-rise residential or mixed-use buildings in Docklands, Southbank or the Melbourne CBD.
▪ A relevant qualification, such as a Certificate IV or Diploma in Facilities Management, Strata Community Management, Property Services or a building trade.
▪ Current First Aid certificate and Fire Warden or Chief Warden training.
▪ Membership of, or familiarity with, the Facility Management Association (FMA) or Strata Community Association (SCA) Victoria.
▪ Current driver licence.

WORKING ARRANGEMENTS
This is a full-time position of 40 ordinary hours per week, based on site in Docklands. Given the nature of residential building management, the role includes Saturday work and an after-hours roster for urgent and emergency matters. Rostering and after-hours response expectations will be set out in the employment contract, all additional hours are paid, and we will always take an individual’s circumstances into account when rostering additional hours.
ENGAGEMENT OPTIONS
This role is offered as a full-time employment position. We are also happy to hear from experienced building management professionals who run their own established business (with an ABN) and would prefer to be engaged as a contractor. Any contractor engagement would be structured to genuinely reflect an independent business relationship, in line with the Fair Work Act 2009 (Cth).
