About The Role:
We are seeking an experienced Contract Administrator to administer manufacturer warranty contracts, statutory warranty obligations and goodwill arrangements for Sydney City Kia and Subaru Service Department.
The role interprets contractual warranty terms, determines entitlement, prepares and submits claims in accordance with manufacturer requirements, manages variations (including goodwill), deals with rejected or adjusted claims, and maintains the records, parts return and reporting obligations that sit under those contracts.
In this role you will:
- Interpret, apply and administer manufacturer warranty contracts, statutory warranty obligations and goodwill arrangements for vehicles processed through the service department.
- Determine whether repair work falls within contractual warranty coverage, approved vehicle warranty or goodwill, and document the basis of that determination.
- Prepare, review and submit warranty claims in accordance with manufacturer contractual requirements, claim schedules and supporting-evidence rules.
- Manage variations to warranty outcomes, including goodwill requests, claim adjustments, resubmissions and disputed or rejected claims.
- Respond to enquiries and resolve problems concerning warranty contracts with manufacturer representatives, service advisers, technicians, parts and customers.
- Manage contractual paperwork associated with claims, job cards, approvals, invoices and claim reconciliations,
and maintain accurate records in dealership management and claims systems.
- Oversee compliance with manufacturer parts return, tagging, storage and destruction requirements under the relevant warranty contracts.
- Review technician findings and supporting documentation against contractual claim criteria before finalising warranty versus customer-pay allocations on job sheets.
- Liaise with manufacturer representatives on claim status, compliance issues and variations, and report outcomes to aftersales management.
- Monitor claim results, identify recurring contractual or process issues, and recommend improvements to warranty administration processes.
- Ensure work charged to customers or claimed under warranty is supported by the required customer and contractual approvals.
- Contribute to the implementation and continuous improvement of warranty administration procedures across the dealership.
Our ideal candidate will possess the following:
- A diploma or higher qualification in business, contract administration, automotive aftersales management or a related discipline is well regarded. Equivalent relevant experience of at least three years will be considered in lieu of the formal qualifications.
- Minimum one year of experience administering contracts, warranty agreements, claims or commercial account arrangements in an automotive dealership, aftersales, insurance claims or similar commercial environment.
- Ability to interpret contractual terms, manufacturer claim guidelines and statutory warranty obligations and apply them to individual claims.
- Experience preparing, submitting, reconciling and following up high volume claims or contractual paperwork, including rejected or varied claims.
- Working knowledge of automotive workshop, parts and aftersales operations sufficient to assess supporting documentation and liaise with technicians and service advisers.
- Strong written and verbal communication skills for manufacturer, customer and internal stakeholder contact.
- High attention to detail, sound independent judgement and the ability to prioritise competing claims and deadlines.
- Strong computer skills, including Microsoft Office and dealership management / claims / accounting systems.
- A proactive approach to process improvement and compliance.
- Full Australian driver’s licence (desirable).
