The Role

We are looking for a Customer & Fulfilment Coordinator to join our team and support the customer journey from order confirmation through to delivery and installation.

This is a varied coordination role across customer service, orders, logistics, and fulfilment.

You will work closely with our Customer Service and Sales teams, along with suppliers, freight providers, installers, and other service partners, to support a seamless end-to-end fulfilment process and keep customers informed throughout.

We are looking for someone who is organised, proactive, and comfortable managing multiple priorities. You will need strong attention to detail, good communication and influencing skills, and the ability to follow things through to completion.

Key Responsibilities

- Coordinate customer orders from confirmation through to delivery and installation, providing a high level of post-sales support throughout.
- Support a smooth handover from Sales, ensuring customer requirements, commitments, and key order information are carried through.
- Manage freight bookings, delivery arrangements, and installation scheduling, including specific customer and site requirements.
- Monitor orders, stock, and deliveries, proactively coordinating with customers, suppliers, and service partners to keep timelines and requirements on track.
- Support customers across phone and email with general enquiries, order updates, and follow-up as required.
- Welcome and support walk-in customers in the showroom, help maintain a professional and customer-ready environment, and provide additional support to the Wellness Hub team during trading hours as required.
- Support the ordering and replenishment of sauna stock, spare parts, and accessories,



including incoming shipment tracking and stock allocation.
- Coordinate replacement products, spare parts, returns, and other fulfilment requirements through to completion.
- Maintain accurate customer, order, purchasing, and inventory information across relevant business systems.
- Identify and respond to issues early, escalating where additional support or approval is required.
- Contribute to ongoing improvements across Customer Service and Fulfilment systems and processes.
- Carry out other reasonable duties as required by your line manager to support the needs of the business.

About You

- Previous experience in customer service, order management, logistics, fulfilment, supply chain or a similar coordination role.
- Highly organised, with strong attention to detail and the ability to manage competing priorities.Clear and professional written and verbal communication skills.
- A practical, solutions-focused approach, with the ability to work independently, use initiative, and respond quickly when priorities change.
- Robust follow-through and a genuine commitment to delivering the highest level of customer service.
- Confident working with customers, suppliers, freight providers, and other service partners.
- Experience using ERP, CRM, order management or inventory systems, with the ability to quickly learn new business platforms.
- Good working knowledge of Microsoft Office, including Outlook, SharePoint, Excel, and Word.
- A positive, collaborative approach and the ability to work effectively as part of a team.
