Job Summary:
The successful candidate will be required to perform a wide range of administrative, consular, secretarial, and policy duties, both in support of the Embassy's diplomatic staff and independently to contribute to the smooth running of the mission.
Duties:
Working as part of a small team means the scope of this role is very diverse, and no two days will be the same. Some key duties will include:
- Diary management, scheduling meetings and handling correspondence
- Organising travel, booking flights and accommodation (both domestically and internationally)
- Planning and overseeing cultural events, high-level meetings, governmental visits and Embassy projects
- Liaising with counterparts in the Australian government, Slovenian government, the governments of other accredited countries, and at other Embassies on bilateral, cultural, or consular matters
- Ensuring the smooth running of the mission, including organising maintenance and acquisition of necessary Embassy purchases (e.g. furniture, insurance, etc.)
- Assisting the consular office on simple consular matters from Slovenian citizens and assisting in the distribution of passports/personal documents
- Proofreading English texts
- Occasional chauffeuring of the Head of Mission
Required Skills/Qualifications The ideal candidate will have:
- Working rights in Australia
- High-level fluency in spoken and written English
- Excellent organisational skills
- Previous administrative experience (2 years or more), Executive Assistant experience preferred
- High competency in computer skills, particularly using Microsoft Office suite
- The ability to multitask and handle competing and/or time-sensitive priorities
- A demonstrated professional manner congruent with the function and often sensitive/confidential nature of a diplomatic mission
- The motivation to learn in an international setting
- A full Australian driver's licence
Desirable Skills/Qualifications The ideal candidate could also have:
- Slovenian language proficiency
- Basic experience in graphic design programs (e.g. Canva, InDesign, etc.)
- Experience with consular affairs
- An understanding of diplomatic protocol
- Experience working with the framework of the EU (e.g. at an EU mission, working at a business in Europe, etc.)
