The WA Mirning People Aboriginal Corporation (WAMPAC) represents the WA Mirning People, the Traditional Owners of Mirning Country across land and sea in Western Australia.
Through strong partnerships and culturally informed governance, WAMPAC plays a critical role in land management, cultural heritage protection and caring for Country that protect WA Mirning Country, support ranger programs and strengthen outcomes for WA Mirning People now and into the future.
WAMPAC works in close partnership with community, government agencies and technical specialists to achieve strong, culturally informed outcomes for WA Mirning People.
About You
- Certificate IV or Diploma in Business Administration, or relevant work experience.
- Governance, Board Administration or Minute Taking training.
- Aboriginal Cultural Awareness or Indigenous Governance training.
Position Summary :
The Executive Assistant is a pivotal support role within WAMPAC, providing high-level administrative and governance support to the CEO and Board. Reporting to the CEO, this role is responsible for ensuring smooth executive operations, effective Board coordination and seamless stakeholder engagement across a agile and fast-paced environment.
You will manage the CEO’s diary and communications, coordinate Board and committee meetings, arrange travel and accommodation, prepare agendas and papers, take accurate minutes, and support governance and compliance activities. This is a full-time position based in Perth, with regular regional travel and flexibility to attend Board meetings and events outside standard hours.
The role requires exceptional organisation, sound judgement, discretion and the ability to manage competing priorities while maintaining professionalism, confidentiality and alignment with WAMPAC’s standards, policies and procedures.
Currently offering as 12 - month fixed term contract however may move to permanent for the right candidate.
About You
You are a highly organised, professional and discreet Administrative specialist who thrives in a busy environment and can confidently support senior leaders, Board processes and stakeholder engagement. Beyond the highly tuned skillset, you will have an authentic love for people, diversity and helping others. You will exemplify care and patience, knowing that as a 100% member nominated Board, some Directors require additional administrative and scheduling support.
You will bring:
- - Previous experience supporting senior executives, Boards or senior leadership teams
- Strong planning and executing for essential Board calendar activities
- Demonstrated experience in minute-taking, governance support and handling confidential information
- Excellent organisational, time management and prioritisation skills, with strong attention to detail
- Strong interpersonal, verbal and written communication skills, with the ability to communicate sensitively and effectively with Aboriginal and/or Torres Strait Islander people
- Advanced proficiency in Microsoft Office Suite and confidence managing records, documents and administrative systems
Essential Requirements:
- - National Police Clearance (less than 3 months old)
- Capacity to travel and work in remote and interstate locations for short periods
- Flexibility to support the corporation during out-of-hours Board meetings and events (on occasion)

- Experience working with Aboriginal organisations, communities or governance structures is desirable.
Job Responsibility :
Board and Governance Support
- Prepare Board agendas, meeting papers and supporting documentation.
- Coordinate Board and committee meeting schedules.
- Arrange Board travel and accommodation requirements.
- Attend Board and executive meetings and prepare accurate minutes.
- Maintain governance records, action registers and meeting documentation.
- Support compliance with governance requirements and meeting protocols.
- Assist with ORIC reporting, annual reporting and audit preparation.
- Maintain policy review schedules and governance calendars.
Executive Support
- Manage the CEO's diary, appointments and scheduling requirements.
- Coordinate CEO travel, accommodation and meeting logistics.
- Act as the first point of contact for CEO communications.
- Prepare correspondence, reports, presentations and briefing papers.
- Assist the CEO with project coordination and administrative support.
- Monitor and prioritise incoming communications and requests.
Meeting, Event and Conference Coordination
- Coordinate Annual General Meeting (AGM) planning and logistics.
- Organise community meetings, workshops and stakeholder engagements.
- Coordinate staff events, celebrations and corporate functions.
- Arrange venues, catering, travel and meeting materials.
- Ensure meetings are professionally organised and effectively supported.
Administration and Records Management
- Maintain accurate filing systems and corporate records.
- Manage confidential information with discretion and professionalism.
- Support internal and external communications.
- Assist with document control and record management processes.
- Provide administrative support across the organisation as required.
- Ensure administrative systems remain accurate, organised and up to date.
Stakeholder Engagement
- Develop positive working relationships with Board members, Traditional Owners, community members and stakeholders.
- Communicate professionally and respectfully with all stakeholders.
- Support culturally safe engagement practices.
- Represent the organisation professionally when interacting with external parties.
