About the role

An established civil construction business is seeking a Fleet Maintenance Coordinator to support the day-to-day management of its vehicle and plant fleet. This role is responsible for helping keep fleet assets protected, compliant, properly maintained and available for operational use. You will coordinate servicing and repairs, maintain fleet records, manage parts and consumables, monitor fuel usage and assist with vehicle and plant compliance.

The role would suit someone with experience in fleet, transport, civil construction, workshop coordination or a similar operational environment.

Key responsibilities

- Coordinate servicing, inspections and repairs for vehicles and plant using internal workshop resources and external service providers.
- Maintain accurate maintenance schedules, service histories, work orders, defect reports and repair records.
- Manage fleet parts and consumables, including ordering, receipting, stock control and allocation to jobs or assets.
- Assist with registrations, inspections and other vehicle and plant compliance requirements.
- Reconcile fuel transactions, investigate unusual usage and prepare fuel cost and consumption reports.
- Maintain fleet and maintenance systems, including asset details, odometer and hour-meter readings, service records and costs.




- Assist with allocating vehicles and plant to projects while helping minimise downtime.
- Prepare regular fleet reporting covering maintenance costs, fuel consumption, defects and asset availability.
- Help ensure pre-start checks, defect reporting, logbooks, permits and other required documentation are completed correctly.
- Liaise with drivers, operators, workshop staff, supervisors and external suppliers to resolve fleet and maintenance issues.

About you

- Current driver's licence.
- White Card.
- Previous experience in fleet coordination, transport, civil construction, maintenance coordination or a similar operational role.
- Good understanding of vehicle and plant servicing, maintenance schedules and basic mechanical concepts.
- Experience with parts, inventory or workshop processes.
- Strong organisational skills and the ability to manage multiple priorities.
- Comfortable using fleet or maintenance systems, spreadsheets and reporting tools.
- Understanding of vehicle, heavy plant, WHS and compliance requirements.
- Familiarity with Chain of Responsibility requirements would be advantageous.
- HR licence would be highly regarded.
- Automotive, logistics, transport, business or similar qualifications would be advantageous but are not essential.
